Retrieve Data: How to Retrieve Existing Records from NetSuite Using Data Filter

ExtendInsights Data Management provides multiple ways to retrieve data from NetSuite. One flexible option is using Data Filters (rules) to pull a specific subset of records directly into Excel without relying on NetSuite Saved Searches.

Choose Your Path


Retrieve Data Using Data Filters (No Existing Template)

If you’re new to ExtendInsights or don’t yet have a template, you can create one and apply Data Filters in a single flow.

Step 1: Start Search and Download

From the ExtendInsights welcome screen, click Search and Download.

Step 2: Select the Record Type

  • Type or scroll to select the NetSuite record or transaction type.

  • ExtendInsights supports standard records and Custom Records.

Example: Vendor Bill

Step 3: Select Fields for the Template

  • Search or scroll to find the fields you need.

  • Check the box next to each field and click Add fields.

  • Use the + icon to add more fields if needed.

Step 4: Apply Data Filters

  1. Click Continue, then select Yes.

    ⚠️ Loading a template clears any existing data on the active worksheet.

  2. Turn on Apply Filters.

  3. Select Using Rules.

Step 5: Create and Use the Filter

  • Define your filter rules (for example, status, date, amount).

  • Click Save.

  • Click Download Data to stream filtered records into Excel.

Step 6: Save the Template

  • Turn on Save As Template.

  • Click Save and Download to reuse the template in the future.


Retrieve Data Using Data Filters (Existing Template)

If you already have a template and want to pull NetSuite records into it using Data Filters.

Step 1: Start with a Template

  • Ensure Start with a Template is turned ON.

  • Click Search and Download with Template.

Step 2: Select the Template

  • Choose the template you want to use.

  • Click the Play button to continue.

Step 3: Apply Data Filters

  • Turn on Apply Filters.

  • Select Using Rules.

  • Reuse an existing filter, or

  • Click the + icon to create a new rule-based filter.

Step 4: Download Data

  • Click Save and Download.

  • ExtendInsights will stream matching NetSuite records into your template.


About Data Filters

  • Filters are global to your NetSuite account

  • Available across:

    • Different workbooks

    • New Excel files

    • Desktop or Excel Online

  • As long as you’re connected to the same NetSuite account, your filters remain available
