Managing Campaigns via ExtendInsights Salesforce

ExtendInsights | Learn how to manage Salesforce campaign members

Updated over 2 weeks ago

Even if you don’t use Excel to add leads or contacts to your campaigns, it can be difficult to view all campaign members without navigating through multiple Salesforce pages. With ExtendInsights, you can retrieve all members of selected campaigns in just seconds. Once in Excel, you can easily filter, update, or remove records as needed.

But why stop there? You can also use our app to add leads and contacts directly to your campaigns. Adding a few records in Salesforce is simple—but what if you need to manage hundreds or even thousands at once, or remove members in bulk? That’s where ExtendInsights really shines.

Watch this video to see how you can quickly add and manage campaign members with ExtendInsights and Excel.

Once you have all the records, simply copy and paste the Lead and Contact IDs into your campaign template, click Update, and just like that—your leads and contacts are added to the campaign.

Template Layout

💡 Tip: It is best to check out the forms and fields and identify the header, column, and required fields in Salesforce that you may need to build the template.

Select Campaign Member as your object and set the following fields, they will depend on your form setup:

  • Campaign ID

  • Contact ID

  • Lead ID

Manage Campaign Members

Step 1: Create templates

Set up three templates—Campaign Members, Leads, and Contacts—to work with your campaign data.

Campaign Member Template

  • Used to create, update, or remove members from a Salesforce campaign.

  • You can start with the suggested template layout and customize it based on your object requirements.

Lead Template

  • Used to download existing lead records from Salesforce.

  • Other fields are for reference only.

  • Example fields:

    • Lead ID (automatically added when building a template)

    • First Name

    • Last Name

    • Lead Source

    • Phone

    • Status

Contact Template

  • Used to download existing contact records from Salesforce.

  • Other fields are for reference only.

  • Example fields:

    • Contact ID (automatically added when building a template)

    • First Name

    • Last Name

    • Email

Step 2: Download records into the lead and contact template

1. Apply criteria as filters to refine and download your desired dataset.

2. For this example, I like to pull leads with Lead Source value Web. Click Proceed.

3. In the Actions Box, select Download. You can override the record download to your loaded template by selecting Override Changes or load to new tab.

4. Review the records download. If you are good with it. Insert a column after Lead ID, then check if the cell type is General. Use formula:

="[["&[@[Record ID]]&"]]".

Goal is use IDs wrapped in double brackets (e.g., [[00QJ1000006K3cVMAS]]).

Step 3:Enter data to Campaign Member Template

  • Choose the Campaign ID.

  • Copy and paste the Lead IDs and Contact IDs into the Campaign Member template.

    • Be sure to paste as values (Paste as special).

Step 4: Upload to Salesforce

  • In the Actions box, then select Upload All.

  • Wait for the upload to finish.

  • Validate in Salesforce if the member has been added to the campaign.
