End-User: Automate Storing Files using CloudExtend

Overview

Managing files spread across emails, shared drives, and local folders can quickly become overwhelming.

CloudExtend simplifies file management by connecting OneDrive or SharePoint directly to NetSuite, all without using NetSuite File Cabinet.

With ExtendDocs, you can:

  • Store files securely in OneDrive or SharePoint.

  • Access files and folders directly from NetSuite records.

  • Minimize the risk of misplaced documents.

  • Save valuable time when searching for the right file.


Which option are you using?

Use this quick guide to identify the ExtendDocs setup your admin enabled for your organization:

Use this if you save emails to NetSuite using ExtendSync Outlook and want attachments stored in OneDrive/SharePoint automatically.

Use this if you want a folder automatically created and linked for NetSuite records, even if you are not saving email attachments.

Option A: Sync Email Attachments to OneDrive and SharePoint (Add-on)

Continue saving emails to NetSuite as you normally would using ExtendSync for Outlook. When ExtendDocs is enabled, your email attachments are automatically stored in your organization’s default OneDrive or SharePoint location.

What you will see

  • Attachments appear as links in Communication → Messages.

  • You may also see files and folders in the CloudExtend Files tab (if your admin deployed it).

  • Files are converted to HTML format, making them fast to share and load.

Important notes

  • Attachments are stored in OneDrive/SharePoint, not in NetSuite File Cabinet as full binary files.

  • Access to the files is controlled by Microsoft 365 permissions.

Recommended End-User Settings

If you want to sync emails together with the file attachments, you can configure to pre-select the files or attachments when selecting a records.

1. Enable file attachment pre-selection (One-Time Save)

This automatically pre-selects attachments from the current email.

  1. In the ExtendSync panel, go to Menu → Settings

  2. Go to File Attachments Preferences

  3. Choose whether to include:

    • File attachments

    • Inline images (optional)

  4. Click back (settings save automatically)

2. Enable attachments for Autopilot

This automatically pre-selects attachments for future Autopilot-saved emails.

  1. Go to Menu → Settings

  2. Go to Attachments for Autopilot

  3. Choose whether to include:

    • File attachments

    • Inline images (optional)

  4. Click back to save.


Option B: Auto-Create Folders (Add-on or Standalone)

When Auto-Create Folders is enabled, a corresponding folder is automatically created in OneDrive or SharePoint when certain NetSuite records are created or viewed (based on your organization’s configuration).

What you will see

  • A folder link will appear in the CloudExtend Files tab on the record.

  • You can open the folder and upload additional files directly in OneDrive/SharePoint.

💡 Note

  • This can be standalone and does not require to using the ExtendSync app to save files to NetSuite.


FAQs

🔵 Where are ExtendDocs files stored?

  • When you use ExtendDocs to save email attachments or other files, those files are not stored in the NetSuite File Cabinet. Instead, ExtendDocs securely stores them in OneDrive or SharePoint and links them back to NetSuite records.

🔵 What happens if a file is moved between folders in SharePoint or OneDrive?

  • The NetSuite link will still work. For example, if a file is originally in the Sales Orders folder and later moved to Customers, the link in NetSuite will continue to open the file.

🔵 What if a file is renamed in SharePoint or OneDrive?

  • The NetSuite link will still work, but the updated file name will not be reflected in NetSuite.

🔵 How can I update the file name shown in NetSuite?

  • To change the name displayed in NetSuite:

    Step 1: Go to the File Cabinet, locate the file record (which stores the name and URL).

    Step 2: Update the name in the file name field.

    Step 3: The new name will then appear in related records (e.g., Sales Order email attachments).

🔵 Who can open the file?

  • Only users who have access to the underlying OneDrive/SharePoint location (Microsoft 365 permissions) and ExtendSync subscription. If you can see the link but cannot open it, request access to the folder/site from your Microsoft 365 admin or the site owner.
