Troubleshooting: NetSuiteTask Email Notifications Are Not Sent for Tasks Created by ExtendSync Outlook

ExtendSync Outlook | Understand why task assignment emails are not sent and how to notify assignees

When a user creates NetSuite tasks from ExtendSync Outlook, the assigned employee may not receive an email notification, even if Send Email is enabled. This article explains why this occurs and the recommended solution.


Symptoms

  • ExtendSync successfully creates a Task in NetSuite.

  • The Task is assigned to an employee.

  • The employee does not receive an email notification.

  • The Task appears correctly in NetSuite.


Why This Happens

This is expected NetSuite behavior.

ExtendSync creates Tasks using NetSuite's SOAP Web Services (SuiteTalk API). NetSuite does not send outbound email notifications for Task records created through Web Services, even when the Send Email option is enabled.

This is a NetSuite platform limitation, not an ExtendSync configuration issue, and cannot be changed by ExtendSync.


How to Resolve the Issue

End Users

No action is required. The Task has been created successfully in NetSuite.

If your organization requires email notifications for newly assigned Tasks, contact your NetSuite Administrator.

NetSuite Administrators

To notify employees when Tasks are created by ExtendSync, configure a NetSuite Workflow that:

  1. Triggers when a new Task record is created.

  2. Checks that the Task has been assigned to an employee.

  3. Sends an email notification to the assigned employee.

This is the recommended approach from the Extend engineering team and works around the NetSuite Web Services limitation.
