Email Sync: How to associate a file with a record instead of an email

ExtendSync Outlook | Learn how to associate a file already in NetSuite with any record

Updated this week

Sometimes, you may want to attach a file that already exists in NetSuite to a specific record — not just to an email message.
ExtendSync makes this simple while preserving NetSuite’s internal processes and file integrity.

Before You Begin

If you receive an email with attachments that you want to save to NetSuite, you have several options:

  • Upload the files manually in NetSuite.

  • Attach them using the OneDrive/SharePoint integration (ExtendDocs).

  • Cancel Autopilot, forward the email to yourself with attachments, then re-enable Autopilot after saving.

How ExtendSync Handles File Associations

ExtendSync follows NetSuite’s native processes to maintain the integrity of messages and attachments by ensuring they’re stored on the original NetSuite email record.

However, users can also associate those same files with other NetSuite records — such as transactions, customers, or cases — without consuming additional File Cabinet storage.

This video shows how to quickly associate an existing NetSuite file that was uploaded with ExtendSync to any NetSuite record without occupying additional NetSuite storage space.

Troubleshooting and Permissions

If you’re unable to complete the steps shown in the video:

  1. Contact your NetSuite Administrator to verify your Documents and Files permissions.

  2. Test access by navigating to:
Documents → Files → Attachments Received

  3. Try clicking the ✏️ Edit icon next to any file.

    • If the icon isn’t clickable, your role may need additional file or document permissions.

💡 Tip:
For organizations using ExtendDocs, you can associate files stored in OneDrive/SharePoint directly with NetSuite records — saving NetSuite storage space while maintaining full access from the record.
