ExtendSync allows you to attach emails to NetSuite while composing or replying to a message in Outlook. This is useful when you want to associate the email with the correct NetSuite record before sending.
However, some features, such as file attachments and Autopilot for Emails, are not available in compose mode due to Microsoft API limitations. These are explained below.
Video Walkthrough
Watch the short video below or follow the step-by-step instructions.
How to Attach a Composed Email to NetSuite
Option 1: Using One-Time Association
Write your email. Enter all the necessary details into your Outlook message.
Click Suggest Related Records (ExtendSync will automatically display likely matches).
You can also Search for Records manually if you prefer.
📘 Learn more about search options
Choose the record or records you want to attach the email to
Click Associate Email.
Finally, send your email.
🚨 Important:
Always send your email after you’ve attached it to NetSuite records.
Avoid editing the message content after attaching, as this could disrupt the association.
Option 2: Using Autopilot for Emails in Compose Mode
Write your email as usual in Outlook.
Send the email.
Go to your Sent Items folder.
Open the email you just sent.
Open the ExtendSync add-in
Select the NetSuite record(s)
Choose one of the following:
Thread-Based Autopilot (recommended for a single conversation), or
Email Address-Based Autopilot (To/From/CC) (for ongoing automation)
Turn on the Autopilot.
The email is now synced.
✅ All future replies (or emails, depending on the Autopilot type) will sync automatically
Limitations
🔵 Why Autopilot Is Not Available in Compose Mode
Autopilot requires a server-generated Message ID, which is created only after the email is sent and processed by Microsoft Exchange.
While composing, the email exists only locally and cannot be linked for automation.
🔵 File Attachments in Compose Mode
Currently, ExtendSync does not support file attachments while composing an email.
If you want to include attachments:Send the email first, then open it from your Sent Items folder to attach it to NetSuite using ExtendSync.
This ensures that the attachments are synced properly via the Microsoft API.
💡 Why this happens:
Microsoft’s API only has access to files after they’re stored on your Exchange Server.
When composing, attachments are stored locally not yet available for the API.
Once you send the email, they’re uploaded and ready to sync.
✅ Recommended workflow:
Send your email.
Open it in Sent Items.
Use ExtendSync to attach the email (and files) to NetSuite.
Summary
Feature | Available in Compose Mode? | Workaround |
Save email to NetSuite | ✅ Yes | Attach before sending |
Sync attachments | ❌ Not supported | Send first, then attach from Sent Items |
Autopilot for Emails | ❌ Not supported | Enable from Sent Items |
ExtendDocs Users: Store Attachments in OneDrive or SharePoint
If your organization uses ExtendDocs, attachments and inline images can be stored directly in OneDrive/SharePoint to help reduce NetSuite File Cabinet storage.
Key Takeaway
Autopilot and attachments cannot be enabled during composition because the email has not yet been processed by Microsoft Exchange.
To use these features:
Finish composing and send the email
Open it from Sent Items
Enable Autopilot or attach files from there
