Admin: Enable/Disable Thread and Email Autopilot for Users

Overview

The CloudExtend Subscription Portal allows admins to manage user licenses at https://portal.cloudextend.app/.


When a subscription starts, a super admin is granted access to the portal. Super Admins and Admins can enable or disable the Email & Thread Autopilot feature for users.

❗ Important
Email & Thread Autopilot configuration is only available for Enterprise Edition.

This article covers Email & Thread Autopilot only

  • This controls the user-level autopilot that individuals configure from the ExtendSync add-in.

  • It does not control Global Autopilot, which is configured separately by an admin in the portal and applies org-wide without end-user setup.

How to Enable or Disable Email & Thread Autopilot for Users

  1. Visit https://portal.cloudextend.app/ and log in to the Admin Portal with your Microsoft ID. (This ID was provided earlier to your Customer Success Manager and is typically your Microsoft 365 email address.)

  2. Navigate to Subscriptions > Feature Assignment (labeled 'Email and Thread Autopilot Configuration' in the portal).

  3. Click on Edit.

  4. Admins can either:

  • Enable Email & Thread Autopilot for All

  • Enable/Disable Email & Thread Autopilot for individual users from the list.

🔄 Any update may take up to 1 hour to take effect.
Users can also reload the add-in for changes to apply immediately.

💡 Tip:

  • ExtendSync gives users full control over how emails are attached to NetSuite. We've created a video and guide with suggestions on when to use each method.

  • The Feature Assignment section in the portal is labeled 'Email and Thread Autopilot Configuration' — this refers to this article's feature only and does not affect Global Autopilot settings.


FAQs

Q: What will users see if Email & Thread Autopilot is disabled?

  • The Autopilot drop-down will still appear in the app, but it will be greyed out and unavailable.

  • If a thread-based Autopilot was already activated, the More automation options will be turned off.

  • The Autopilot status in Settings will show as Inactive or Active.

Q: What happens to Email Address-based Autopilot when disabled from the portal?

Q: If an admin re-enables Email & Thread Autopilot, will the user's previous associations remain?

  • Yes. The previously saved email addresses are retained.

  • Once re-enabled, syncing will restart within 5 minutes.

  • It's best to advise users to review their Email Autopilot Association after reactivation.
