ExtendSync Outlook | Learn how to allocate licenses for your end-users

Subscription Admins can login into https://subscriptions.cloudextend.io with their Microsoft account to start managing end-user licenses and assign other administrators.

💡Note: The Account setting in the setup is only required for ExtendSync Outlook Enterprise subscriptions to enable Email Autopilot. If you're a Group Edition subscriber the Account field is not required.

To begin managing your ExtendSync for Outlook NetSuite licenses please follow the steps below:


Login

Step 1: Visit subscriptions.cloudextend.io and log in to the Admin Portal with your Microsoft ID (this was previously provided to your Customer Success Manager and is typically your Microsoft 365 email address).

Step 2: Click on Manage Licenses. All your subscriptions will be displayed here.


Adding Accounts

Step 1: Click on Accounts. This is where you can add your Production, Sandbox, and Release Preview accounts.

Step 2: Enter your Account number (1). Choose from the dropdown (2) if it is a Sandbox or a Production Account and click the + sign (3). Add additional accounts if applicable. For Sandbox, Accounts be sure to use an _ instead of a hyphen and capitalize the SB, ie if your sandbox is 12345-sb1 enter 12345_SB1. For Release Preview Accounts please configure them as sandbox accounts using the "_RP" suffix, ie 12345_RP.


Adding Admin Users

If you are the Super Admin for the account (the primary Admin) we highly recommend you add Admin user to the portal by clicking on Admin Users


Allocating Licenses to End-users

If users have different email addresses for NetSuite and Microsoft, the admin must update the email in the license section of ExtendSync by replacing the NetSuite email with the Microsoft email.

Click on Manage Licenses.

Enter the email addresses of the users you want to allocate licenses for.  If you want to remove a user license click the trash can next to their email.  Once the user is allocated a license, they will receive an email from ExtendSync within a few hours with installation instructions.  **If your organization has a Microsoft 365 subscription your 365 Admin can install the App for one or more users by following the instructions here.


Enabling Email Autopilot (Enterprise only)

ExtenSync Autopilot is an Enterprise Edition feature that adds more automation to saving emails. The increase in productivity can be massive.

Thread-based Autopilot: Enables users to attach an email to one or more NetSuite records and then auto-sync every single back/forth reply attached to those same records, even when they are away from their computer.

Email address Autopilot: When you receive an email, you can monitor all future communications to or from a specific email address and attach that email to just the right record type in NetSuite with zero clicks.

Enable Attachment Autopilot (Enterprise Only)

Users can effortlessly set an entire thread or automate an email address — including attachments! 📎

All future emails set on Autopilot will automatically sync complete with attachments to NetSuite with no extra clicks!

Enable Calendar Autopilot (Group and Enterprise Only)

Events in Outlook will seamlessly synchronize with NetSuite, whenever there are updates, deletions, and declines with the event in Outlook including changes in the attendee list, time date, or agenda, all of those will be reflected in NetSuite. This is an Enterprise Edition feature.
