Google Drive: Can I create a saved search to show what Google Drive files are attached to a specific record(s)?

ExtendSync stores Google Drive file and folder associations in NetSuite using a custom record called Celigo Google Doc.
By creating a saved search on this record, you can easily report on:

  • Which Google Drive files or folders are linked to NetSuite records

  • What records they’re attached to

  • File ownership and visibility across your organization

This is useful for audits, clean-up, governance, and adoption tracking.


Prerequisites

Before creating the saved search, make sure:

  • You have NetSuite Administrator or Saved Search permissions

  • ExtendSync Google Drive integration is enabled

  • Google Drive files or folders have already been attached to NetSuite records


Create the Saved Search

Follow the steps below to build a report showing Google Drive associations.

Step 1: Create a New Saved Search

  1. In NetSuite, go to:
    Reports → Saved Searches → All Saved Searches → New

  2. When prompted to select a search type, choose Custom Record.

Step 2: Select the Celigo Google Doc Record

  1. From the list of custom records, find and click:
    Celigo Google Doc

This record stores the relationship between NetSuite records and Google Drive files or folders.

Step 3: Configure Criteria (Optional but Recommended)

Use Criteria to narrow your results. Common examples include:

  • Attached Record Type = Customer, Opportunity, Case, etc.

  • Attached Record Internal ID = Specific record(s)

  • Created Date = Last 30 / 60 / 90 days

  • Owner = Specific user

💡 Tip: Start without criteria to see all associations, then refine as needed.

Step 4: Add Results Columns

In the Results tab, add fields such as:

  • Google Drive File Name

  • Google Drive File URL

  • NetSuite Record Type

  • NetSuite Record Name / ID

  • Folder vs File indicator

  • Created Date

  • Created By

This gives you a clear inventory of what’s linked and where.

Step 5: Save and Run the Search

  1. Click Save.

  2. Give the search a clear name, such as:
    “Google Drive Files Linked to NetSuite Records”

  3. Run the search to view results.
