ExtendSync Outlook | Guide on how to enable Calendar Autopilot for your organization

Subscription Admins can log into https://subscriptions.cloudextend.io with their Microsoft account to start managing end-user licenses and assign other administrators.

REQUIREMENTS

  • A subscription to the Group or Enterprise edition is required.

    • Additionally, your organization must subscribe to Calendar Autopilot separately

    • New Customers who want Calendar Autopilot will need to purchase a subscription for Outlook for NetSuite Calendar Autopilot Edition starting July 4th. Learn about the fees associated here!

    • Admins should install the CloudExtend SuiteApp and add users to the subscription portal.

  • Any Enterprise users who signed up for early access before June 20 can still use the Calendar Autopilot feature at no charge through October 15, 2024.

What happens next?

After September 30, all users will need to be managed in the subscription portal under the Calendar subscription; however, complimentary access will continue until October 15.

To continue accessing Calendar Autopilot after October 15, please contact your Account Exec or cloudextend-sales@celigo.com for an expedited quote. All current customers are eligible for a discount of up to 50% on the user licenses.

Cancel your subscription

Your Calendar Autopilot subscription will automatically cancel on October 15, 2024. If you would like to cancel sooner, please contact your CSM or cloudextend-success@celigo.com.

Please reach out as soon as possible to avoid any interruptions to your service.


Enabling Calendar Autopilot

Who is required for the initial setup?

  1. The admin assigned to login to subscriptions.cloudextend.io

  2. A user with admin rights to your Microsoft 365 environment

  3. A user with NetSuite admin rights

How to Enable Calendar Autopilot

🚩 Tip: Ensure that any existing calendar integration is turned off before enabling this feature.

Install CloudExtend SuiteApp in your NetSuite Account

  1. NetSuite Admins should click the SuiteApps tab in their NetSuite navigation bar.

  2. On the search box, enter "CloudExtend".

    • Multiple CloudExtend SuiteApps will appear, be sure to select CloudExtend Outlook with the logo below which has the latest functionality.

Enable Calendar Autopilot in the Subscription Portal

✳️ Step 1: Log in to the subscription portal

The CloudExtend admin should log in to the subscription portal (subscriptions.cloudextend.io) and click on Accounts.

In the Accounts section, admins can configure the Calendar Autopilot setup. Once configured, users can be added via the Licenses tab.

✳️ Step 2: Enable Calendar Autopilot

Navigate to the Calendar Autopilot tab and proceed with the following steps:

(1) Select your NetSuite Account.

(2) Activate Calendar Autopilot to enable automatic event synchronization with NetSuite.

(3) Set Calendar Autopilot Preference

(4) Default Organizer Internal ID

  • It is optional to assign a default organizer's employee internal ID. You can find more information on this here.

  • If you leave this blank, the admin who will perform the NetSuite authorization in step 3 will be the default organizer.

(5) Continue to the next step by selecting Configure Autopilot. The next step requires your Microsoft 365 Admin and your NetSuite Admin.

✳️ Step 3: Calendar Autopilot > Configure Autopilot

All steps should be completed for the Calendar Autopilot to work.

Step 1: Grant Microsoft 365 Consent

  • Admin would be asked to provide Microsoft grant in the first step for his organization's domain.

Step 2: NetSuite Authorization for the Organization

  • NetSuite Admin needs to authorize the event sync to the whole organization.

  • Admin will be prompted to login to NetSuite.

Step 3: Verify NetSuite SuiteApp

  • Once the NetSuite authorization is completed, we run a check to see if the SuiteApp is installed in your NetSuite account. If that is installed then, no action is required else you will be prompted to install the SuiteApp.

Step 4: Assign Calendar Autopilot Users

  • In the last step Assign Users, Admin will be shown the list of all licensed users, and Event Autopilot will be selected by default for them. He can turn off the feature for some users if he doesn't want them to have access to this feature.

  • End users with a valid license who have had Event Autopilot enabled will be able to confirm the status of their configuration in the Autopilot Status section in the Settings of the ExtendSync app.

Enable or Disable Calendar Autopilot for Users

Admins can enable and disable the Calendar Autopilot feature for users.

Step 1: Visit subscriptions.cloudextend.io and log in to the Admin Portal with your Microsoft ID (this was previously provided to your Customer Success Manager and is typically your Microsoft 365 email address).

Step 2: Go to Manage Licences> Account> Calendar Autopilot

Step 3: Configure Autopilot

Step 4: Go to Assign Users(1) and review the email addresses of users to whom Calendar Autopilot should be enabled.


What to expect after activating the Calendar Autopilot?

💡 Note

It can take up to 24 hours to be enabled

Calendar Autopilot will be enabled for end users approximately 24 hours after it is enabled by the Admin.

Once configured, events in Outlook will automatically synchronize to NetSuite, whenever there are updates, deletions, and declines with the event in Outlook including changes in the attendee list, time date, or agenda, all of those will be reflected in NetSuite.

For Outlook Events with attendees, ExtendSyncwill sync the event to all relevant entity records in NetSuite. The order of preferences followed while searching for entities in NetSuite is as follows:

Employee > Contact > Customer > Vendor > Lead> Prospect > Partner > Job
