Who is required for the initial setup?

  1. The admin assigned to login to subscriptions.cloudextend.io

  2. A user with admin rights to your Microsoft 365 environment

  3. A user with NetSuite admin rights


Steps to Enable Calendar Autopilot

🚩 Tip: Ensure that any existing calendar integration is turned off before enabling this feature.

Install CloudExtend SuiteApp in your NetSuite Account

  1. NetSuite Admins should click the SuiteApps tab in their NetSuite navigation bar.

  2. On the search box, enter CloudExtend.

    • Multiple CloudExtend SuiteApps will appear, be sure to select CloudExtend Outlook with the logo below which has the latest functionality.

Login to the CloudExtend Portal

  1. The CloudExtend admin should log in to the subscription portal (subscriptions.cloudextend.io). Click Subscription the from the navigation pane.

  2. Check if the selected subscription is CloudExtend Outlook Calendar Sync for NetSuite.

Configure Calendar Autopilot

  1. Go to the Configuration tab.

  2. Toggle on the Enable Autopilot button.

  3. Connect to your NetSuite Account Number then Verify.

    ⚠️ Important for Sandbox/Release Preview Accounts

    • Use underscores (_) instead of hyphens (-).

    • Capitalize SB in sandbox names (e.g., 12345_SB1).

    • For Release Preview accounts, use _RP suffix (e.g., 12345_RP).

  4. Set Default Organizer internal ID.

    • It is optional to assign a default organizer's employee internal ID. You can find more information on this here.

    • If you leave this blank, the admin who will perform the NetSuite authorization in step will be the default organizer.

  5. Select Calendar Autopilot Preference (Bi-directional, Only from Outlook to Netsuite, or Only from NetSuite to Outlook)

  6. Continue to the next step by selecting Configure. The next step requires your Microsoft 365 Admin and your NetSuite Admin.

    • Click the Configure button.

      • On the next screen, the Microsoft 365 Admin is required to allow ExtendSync to use the Microsoft Graph API. This is required for Autopilot to operate unattended and to add categories to emails. Click on Step 1 and then review the permissions and click Accept.

      • Once consent has been granted you will be returned to the portal and should see a Success status next to Re-configure button.

      • If you got an error requesting for Microsoft Grant, refer to troubleshooting section below.

    • Authorize NetSuite for Organization

    • Verify NetSuite SuiteApp.

Enable/Disable Calendar Autopilot for Users

  • Admins can enable and disable the Calendar Autopilot feature for users.

  • If user's name is not showing in the Feature Assignment tab, prorceed to next step.

(Optional) Allocate Licenses to Users

License is required on the user profile for the Calendar Autopilot feature. Once allocated, you can enable Calendar Autopilot.

For Existing Users

For New Users

  1. From the Users tab, click Add User.

  2. Enter the following:

    1. First Name

    2. Last Name

    3. Admin’s Microsoft account email address.

    4. Subscription

    5. Role (User, Super Admin, Admin, Config Admin)

  3. Click Add User once done.

Once allocated, users receive an email from ExtendSync within a few hours with installation instructions.


What to expect after activating the Calendar Autopilot?

💡 Note

It can take up to 24 hours to be enabled

Calendar Autopilot will be enabled for end users approximately 24 hours after it is enabled by the Admin.

Once configured, events in Outlook will automatically synchronize to NetSuite, whenever there are updates, deletions, and declines with the event in Outlook including changes in the attendee list, time date, or agenda, all of those will be reflected in NetSuite.

For Outlook Events with attendees, ExtendSync will sync the event to all relevant entity records in NetSuite. The order of preferences followed while searching for entities in NetSuite is as follows:

Employee > Contact > Customer > Vendor > Lead> Prospect > Partner > Job
