Email Sync: Search and choose for NetSuite records you want to link your emails

There are two ways for you to attach emails and files to NetSuite Records.

When saving emails to NetSuite, you can locate and attach records in two ways:

  1. Auto-Search β€” ExtendSync automatically finds related records for you.

  2. Manual Search β€” You search for additional or specific records.

You can also:


Auto-Search

Records are being scanned in Netsuite based on the record filter.

Step 1: Select an Email

From your inbox, click on an email you want to save to NetSuite. ExtendSync does an auto search for you in NetSuite to bring back relevant records based on:

  • Sender and recipient email addresses, and

  • Transaction IDs or 4+-digit numbers in the subject line

πŸ’‘ Note: Your first search each day may take a few seconds longer. After that, results will appear significantly faster due to cached performance.

Step 2: Choose the Record/s

In the Available Records list, you can:

  • βœ… Click All to attach the email to every record found, or

  • 🟒 Select one or more specific records manually from the list.


Manual Search

Use Manual Search if Auto-Search doesn’t display the records you need.

Step 1: Search for Records

In the ExtendSync panel, use the Search box to look for additional NetSuite records.
This search functions just like your NetSuite Global Search.

Step 2: Select the Record/s

Type a keyword (e.g., customer name, transaction ID, or record title).
Matching results will appear below the search bar.
Click a record to add it to your Available Records list for association.


Ability to Multi-Select from Search Results

You can add multiple records from different record types at once.
Simply search using the global search bar and check multiple records before adding them.

πŸ’‘ Tip: Multi-select is especially helpful when you need to link a single email to multiple related records (e.g., Opportunity + Estimate).


Save Emails with Attachments

If you want to include attachments when saving your email:

  1. Click the πŸ“Ž paperclip icon in the ExtendSync pane.

  2. Select one or more files to sync with your email.

  3. Click Apply to confirm your selection.

πŸ’‘ Note:

  • For Autopilot, by default attachments are only included in the first email, not in subsequent ones. The file/s will be stored in the NetSuite file cabinet.

  • To include attachment for future emails, Attachment Autopilot should be turned on by admin.

  • Attachments are stored in the NetSuite File Cabinet, or in OneDrive/SharePoint if using ExtendDocs.
