You can manually attach your Outlook Calendar events to NetSuite records using ExtendSync for Outlook.
This feature is for users on a Starter or Enterprise plan who have not enabled the Calendar Autopilot add-on.

How to Manually Attach Calendar Events to NetSuite
Step 1 β Create Your Event
Create your calendar event in Outlook as you normally would.
Once the event is sent:
Open the event in Outlook and click the ExtendSync icon on the calendar ribbon bar, or
Reopen the event and click ExtendSync from the menu.
Step 2 β Find the NetSuite Record(s)
When ExtendSync launches, choose how to find the record(s) you want to attach your event to:
Suggest Related Records β Automatically fetches and lists relevant records based on your invitees.
Search for Records β Manually search using the search box.
Step 3 β Associate the Event
Select one or more records by checking the box next to each, then click Associate Event.
ExtendSync will begin linking your event to the chosen NetSuite record(s).
β οΈ Important Reminder
If your event includes multiple attendees, you only need to attach it once β to a single NetSuite record.
The event will automatically appear under that record and under any employee or contact attendees who exist in NetSuite.
Attaching the same event to every attendee will create duplicate events in NetSuite.
π‘ Best Practice: Always attach to one record only to keep your NetSuite activity timeline clean and accurate.
Letβs say your event attendees are:
Astrid β astrid@big5autogroup.com
Levi β levi@big5autogroup.com
Aurora β aurora@big5autogroup.com
Because all three attendees belong to the same company Big 5 Auto Group, itβs best to attach the event to the Company record rather than to each individual contact.
π‘ Why:
When you save the event to the Company record, it will automatically appear under Big 5 Auto Group in NetSuite, and it will also be visible on the Contact records for Astrid, Levi, and Aurora (as long as they exist in NetSuite and are linked to the company).
This keeps your NetSuite activity organized and prevents duplicate events across multiple contact records.
View Calendar Events in NetSuite
After saving the event in Outlook and want to view the details in NetSuite, you have two options to view event details
Record Level View
Step 1: Click the three dots and select View in NetSuite.
Step 2: Go to Communications > Activities tab
Calendar Portlet
Add calendar portlet to your NetSuite dashboard, calendar events saved from Outlook via ExtendSync will also show on your own NetSuite calendar.
A few important points to note
All events are saved under Communication β Activities in NetSuite.
If your event form has required custom fields, NetSuite will display an error and prevent the save. π See how to handle required fields
If any of the attendees from the Outlook event are not entities in NetSuite, those attendees will be skipped and will not appear as attendees in the event created in NetSuite.
Edits to an already attached Outlook event do not resync to NetSuite.
To attach an event to a contact who isnβt invited, that contact must be linked to a company. The event will then appear under both records.
Review your NetSuite calendar preferences
Event Visibility Settings
To let others see your event names (instead of just βBusyβ):
Go to Home β Set Preferences β Activities tab.
Set Default Event Access to your preferred visibility.
ExtendSync will use this default for all created events.
Check Timezone Settings
If you are trying to attach an event for the first time, you will be asked to select your NetSuite user time zone.
π‘ Note:
The time zone selected here must match the NetSuite user's time zone. Selecting the wrong timezone may lead to a mismatch in event schedules between Outlook and NetSuite.
To set your Calendar Time Zone:
Go to Home > Set Preferences.
On the General subtab, in the Time Zone field, select your time zone
Click Save.
