Admin: Enable Attachment Autopilot using ExtendSync Outlook (NetSuite File Cabinet)

ExtendSync Outlook | Guide on how to enable Attachment Autopilot for your organization

Updated over 2 weeks ago

Attachment Autopilot automatically syncs emails and their attachments to the NetSuite File Cabinet — no extra clicks required!

It’s ideal for teams who frequently receive files that need to be stored alongside NetSuite records.

Requirements

Before you begin, make sure the following are in place:

Who Performs the Setup?

  1. The CloudExtend Admin with access to subscriptions.cloudextend.io

  2. A NetSuite Admin user (to confirm permissions and storage configuration)

How to Enable Attachment Autopilot (NetSuite File Cabinet)

Follow these steps to enable and manage the Attachment Autopilot feature for your ExtendSync for Outlook NetSuite users.

Step 1: Visit subscriptions.cloudextend.io and log in to the Admin Portal with your Microsoft ID (this was previously provided to your Customer Success Manager and is typically your Microsoft 365 email address).

Step 2: Go to Manage Licences> Account> Email Autopilot Settings.

Step 3: Go to Assign Users(1) and review the email addresses of users subscribed to ExtendSync(2). Admin can enable the Attachment Autopilot feature(3) and select users from the list.

🚨 Important: Use Caution When Enabling Attachment Autopilot

Identify users who truly need automatic attachment syncing.

All attachments processed via Attachment Autopilot are stored in the NetSuite File Cabinet, which uses your organization’s allocated NetSuite storage.

⚠️ Tip: Review your File Cabinet storage limits in NetSuite before enabling this feature for many users.

Notes

  1. Configuration updates may take up to 1 hour to apply automatically.

  2. Users can reload the add-in to see updates immediately.

  3. The first time Attachment Autopilot is enabled, admins will see a prompt confirming that attachments will be synced to the File Cabinet.

What to expect after activating the Attachment Autopilot (NetSuite File Cabinet)?

Once Attachment Autopilot is enabled:

  • Users can choose to sync attachments when configuring Thread or Email Autopilot.

  • Synced attachments will be stored automatically in the NetSuite File Cabinet.

  • In the Associated Records section, each record linked with attachments will display an attachment indicator.

  • Users can view:

    • How the Email Autopilot association was set (thread-based or address-based)

    • Whether attachments or inline images were synced

    • The status of associations in the Logs view
