Retrieve Data: How to Retrieve Records Using NetSuite Internal IDs

If you already have a template and a list of NetSuite Internal IDs, you can retrieve only those specific records directly into Excel.

This is useful for targeted updates, validations, or quick lookups without running a full search.


When to Use This Method

Use Internal ID–based retrieval when you:

  • Need to pull a known set of records

  • Are updating specific records only

  • Have Internal IDs from a report, saved search, or another system


Prerequisites

  • A loaded ExtendInsights template for the record type

  • One or more valid NetSuite Internal IDs

  • Access to the record type via your NetSuite role

How to Retrieve Records Using Internal IDs

Step 1: Enter the Internal ID(s)

  1. Locate Column B – Internal ID in your template.

  2. Paste the Internal ID for the record you want to retrieve.

    • One ID per row.

⚠️ Do not rename or move Column B (Internal ID).

Step 2: Reload Records

  1. Click Reload Records.

  2. ExtendInsights will fetch the records from NetSuite that match the entered Internal IDs.


Tips & Best Practices

  • You can retrieve multiple records at once by entering multiple Internal IDs (one per row).

  • This method retrieves only the records listed—no extra data.

  • Ideal for quick edits followed by an update/upload.

  • If a record doesn’t load, confirm the Internal ID is valid and you have permission to access it.
