Add New Leads to HubSpot using ExtendInsights

ExtendInsights HubSpot | Create new HubSpot Contacts and assign a Lead Status

New leads can come in every day from events, campaigns, downloaded source files, and other business activities. Keeping this information up to date in HubSpot can require frequent data entry.

With ExtendInsights Data Management for HubSpot, you can create new Contact records from Excel and populate the Lead Status property as part of the upload.

You can manually enter the data in your ExtendInsights template or copy and paste it from an existing source file.


How Lead Creation Works

When adding a new lead through ExtendInsights, select Contacts as the HubSpot object.

Include the Lead Status property in your template and assign the appropriate status to each Contact.

This allows you to create the Contact and populate its Lead Status in the same upload.


How to Add New Leads

Step 1: Prepare your data

Before creating your ExtendInsights template, prepare the Contact data you want to add to HubSpot.

For example, your spreadsheet might include:

  • First Name

  • Last Name

  • Email

  • Contact Owner

  • Job Title

  • Phone Number

  • Lifecycle Stage

  • Lead Status

Review your HubSpot configuration and identify any additional Contact properties your organization requires.

Step 2: Open ExtendInsights

  1. Open Excel.

  2. Launch ExtendInsights.

  3. Select HubSpot from the data source list.

Step 3: Create a Contact template

  1. Click Create a Template.

  2. Select an existing HubSpot connection or create a new connection.

  3. Open the Configure section.

  4. Select Contacts as the object.

  5. Select the HubSpot properties you want to populate.

  6. Make sure to include Lead Status.

  7. Click Add when you are finished selecting fields.

Include the properties your organization uses when creating Contacts.

Step 4: Review the template layout

Arrange the template so it matches the structure of your prepared data.

You can:

  • Drag and drop fields to rearrange their order.

  • Hover over a field and select the pencil icon to update its configuration.

  • Select the trash icon to remove fields you do not need.

If you regularly receive leads from the same source, arrange your ExtendInsights template to match the source file. This makes it easier to copy and paste new data into Excel.

When the layout is ready:

  1. Click Proceed to Load the Template.

  2. Save the template for future use.

Step 5: Add your lead data

Add the Contact records you want to create to the generated Excel template.

You can:

  • Enter data manually.

  • Copy and paste data from an existing spreadsheet or downloaded source file.

  • Use ExtendInsights cell operations to populate supported property values.

For properties with predefined HubSpot values, such as Lead Status and Lifecycle Stage, select an available value provided by ExtendInsights or use type-ahead where available.

Step 6: Upload the records

Before uploading, confirm that each row contains the correct Contact information and Lead Status.

Then:

  1. Click Upload in ExtendInsights.

  2. Wait for the upload to complete.

  3. Review the upload results.

  4. Check any rows that return an error and correct the affected data as needed.


Verification

After the upload completes:

  1. Open HubSpot.

  2. Go to Contacts.

  3. Locate one or more Contacts included in your upload.

  4. Confirm that the new Contact records were created.

  5. Open a Contact and verify that Lead Status contains the value you selected in Excel.

Your new Contact and its Lead Status should now be available in HubSpot.


Tips / Best Practices

  • Include Lead Status in your template when the status needs to be assigned during Contact creation.

  • Save your template if you regularly add leads using the same properties.

  • Arrange the template columns to match recurring source files for easier copy and paste.

  • Use valid HubSpot values for properties with predefined options.

  • Review your data before uploading to reduce incomplete or incorrect Contact records.
