ExtendInsights HubSpot | Create new HubSpot records directly from Excel

Overview

ExtendInsights lets you create new HubSpot records directly from Excel using a mapped template.

Create standard or custom HubSpot records without leaving Excel, then upload them in batches to HubSpot.

Important: To create new records, use a standard or custom object template (for example, Contacts or Companies). HubSpot List templates only add existing records to a list—they do not create new HubSpot records.


Before You Begin

Before creating records, make sure you have:

  • An active HubSpot connection.

  • A template created for the object you want to create.

  • Included all required fields in your template.

Tip: If you haven't created a template yet, see Build Templates.


Step 1: Open or Create a Template

Open an existing template or create a new one for the HubSpot object you want to create.

For example:

  • Contacts

  • Companies

  • Deals

  • Tickets

  • Custom Objects

Note: Analytics and List templates cannot be used to create new HubSpot records.

Step 2: Enter Your Data

Populate the worksheet with the records you want to create.


You can:

  • Type values directly into Excel.

  • Copy and paste data from another application or worksheet.

  • Use Excel formulas.

  • Select values from supported dropdown fields.

Tip: Complete all required fields before uploading your data.

Step 3: Upload Your Records

When you're ready:

  1. Expand the Actions section.

  2. Click Upload Rows.

ExtendInsights validates each row before sending it to HubSpot.


Step 4: Review the Results

After the upload completes:

  • Successfully created records are marked as successful.

  • Newly created records display their HubSpot ID (where applicable).

  • Errors and warnings appear in the Results column for easy troubleshooting.

If a row fails, correct the issue and upload it again.


Step 5: Verify Your Records

Confirm that:

  • The expected records were created.

  • Required fields were populated correctly.

  • No validation errors remain.

You can also verify the new records directly in HubSpot.


Tips & Best Practices

Use the correct template

To create new records, use a standard or custom object template.

Do not use a List template, as it only associates existing HubSpot records with a list.

Complete required fields

Missing required fields are one of the most common causes of upload failures.

Use dropdown fields

For supported fields, select values from the built-in dropdown list to ensure valid HubSpot values are uploaded.

Review upload results

If HubSpot rejects a record, for example, because of a duplicate contact rule—the reason is displayed in the Results column. Duplicate handling follows your HubSpot account configuration.
