Manage Data: Reload and Update Existing Records using HubSpot Record ID

ExtendInsights HubSpot | Retrieve the latest HubSpot data into Excel

Overview

Use Refresh to retrieve the latest data for a specific HubSpot record without downloading a new dataset.

This is useful when you know the Record ID and want to view the most up-to-date information before making changes.


Before You Begin

Before creating records, make sure you have:

  • An active HubSpot connection.

  • A template created for the object you want to create.

  • Included all required fields in your template.

Tip: If you haven't created a template yet, see Build Templates.


Step 1: Open or Create a Template

Open an existing template or create a new one for the HubSpot object you want to create.

For example:

  • Contacts

  • Companies

  • Deals

  • Tickets

  • Custom Objects

Note: Analytics and List templates cannot be used to create new HubSpot records.

Step 2: Locate the Records

If you're refreshing a specific record, enter or paste the Record ID into the Record ID column.

Tip: The Record ID uniquely identifies each HubSpot record and allows ExtendInsights to retrieve the latest information.

Step 3: Refresh the Records

Select Refresh to retrieve the latest values from HubSpot.

ExtendInsights updates the existing rows with the current data from your HubSpot account.

Step 4: Update Your Data

Modify the values directly in Excel.

For supported fields, you can:

  • Type new values.

  • Copy and paste data.

  • Use Excel formulas.

  • Select values from supported dropdown fields.

Step 5: Upload Your Changes

When you're ready:

  1. Expand the Actions section.

  2. Click Upload Rows.

ExtendInsights validates each modified row before sending the updates to HubSpot.

Important: Do not delete or modify the ID column. ExtendInsights uses this value to identify which HubSpot record to update.

Step 6: Review the Results

After the upload completes:

  • Successfully updated rows are marked as successful.

  • Errors and warnings appear in the Results column.

  • If a row fails validation, correct the issue and upload it again.

Step 7: Verify Your Changes

Confirm that:

  • The intended records were updated.

  • All changes were applied correctly.

  • No validation errors remain.

You can also verify the updates directly in HubSpot.


Tips & Best Practices

Refresh before making updates

If you're planning to update existing records, refresh them first to ensure you're working with the latest data from HubSpot.

Keep the Record ID

Do not remove or modify the ID column. ExtendInsights uses this value to identify which HubSpot record to refresh.

Refresh is supported only for standard and custom objects

The following object types cannot be refreshed:

  • Analytics objects

  • Owners

  • Forms

  • Form Analytics

These object types are excluded from refresh operations in the current release.
