Overview
ExtendInsights lets you delete existing HubSpot records directly from Excel.
You can delete individual records or multiple records in a single operation, making it easy to clean up outdated or unwanted data.
Important: Deleting a HubSpot record permanently removes it from HubSpot. Review your records carefully before deleting them.
Before You Begin
Before deleting records, make sure you have:
An active HubSpot connection.
A template created for the object you want to delete.
Delete permission for the selected HubSpot object.
Tip: If you haven't created a template yet, see Build Templates.
Delete Records Using Downloaded Data
Step 1: Open or Create a Template
Open an existing template or create one for the HubSpot object you want to delete.
Examples include:
Contacts
Companies
Deals
Tickets
Custom Objects
Step 2: Download the Records
Retrieve the records you want to delete.
Apply filters if needed.
Enable Preview Data to review up to 50 records.
Click Download.
Tip: Review the downloaded records carefully before deleting them.
Step 3: Delete the Records
Delete All
Use Delete All when you want to remove every record currently loaded in the worksheet.
Before proceeding:
Review the downloaded records carefully.
Confirm that all records should be deleted.
Click Delete All to permanently delete all loaded HubSpot records.
Delete Selected
Select the cell of the row(s) you want to delete.
Click Delete Selected.
ExtendInsights deletes the corresponding HubSpot records.
⚠️ Important: Deleting records permanently removes them from HubSpot. This action cannot be undone, and deleted records cannot be recovered through ExtendInsights.
Delete a Record by Record ID
If you already know the HubSpot Record ID, you can delete a specific record without downloading a dataset.
Open the appropriate HubSpot template.
Enter or paste the Record ID into the ID column.
Tip: The Record ID uniquely identifies each HubSpot record and allows
(Optional) Reload the data before deleting to check all the information.
Click Delete Selected.
The matching HubSpot record is deleted.
What to Expect
After the delete operation completes:
Successfully deleted records are removed from HubSpot.
Any failures are displayed in the Results column.
Correct any errors and try again if necessary.
Tips & Best Practices
Verify the Record IDs
Always confirm that the Record ID matches the record you intend to delete.
Review your data first
Download and review the records before deleting them, especially when deleting multiple records.
Check your permissions
You must have permission to delete the selected HubSpot object.
Back up important data
Consider exporting your records before deleting them if they may be needed later.
HubSpot Lists behave differently
Deleting a HubSpot record permanently removes it from HubSpot.
If you only want to remove a record from a HubSpot List, use a List template instead. Removing a record from a list does not delete the underlying HubSpot record.
