Manage Data: Reload and Update Existing HubSpot Records

ExtendInsights HubSpot | Download, edit, and update HubSpot records directly from Excel

Overview

ExtendInsights lets you retrieve existing HubSpot records into Excel, make changes, and upload those updates back to HubSpot.

This workflow is ideal for bulk updates, data corrections, and maintaining HubSpot records without leaving Excel.


Before You Begin

Before updating records, make sure you have:

  • An active HubSpot connection.

  • A template created for the object you want to update.

  • Existing HubSpot records to retrieve.

Tip: If you haven't created a template yet, see Build Templates.

Step 1: Open Your Template

Open an existing template for the HubSpot object you want to update.

Examples include:

  • Contacts

  • Companies

  • Deals

  • Tickets

  • Custom Objects

Step 2: Build your filter

Expand the filter and set filter criteria:

  • Field

  • Operator

  • Value

Then click Apply.

Step 3: Download records

Go to the Actions box and select Download.

Step 4: Update Your Data

Modify the values directly in Excel.

Let's say it's been a week since you downloaded your Leads, and several prospects have moved to the next stage. Rather than updating each Lead individually in HubSpot, you can reload the records into Excel, update the Lead Status to Open, and upload the changes in bulk.

For supported fields, you can:

  • Type new values.

  • Copy and paste data.

  • Use Excel formulas.

  • Select values from supported dropdown fields.

Step 4: Upload Your Changes

When you're ready:

  1. Expand the Actions section.

  2. Click Upload Rows.

ExtendInsights validates each modified row before sending the updates to HubSpot.

Important: Do not delete or modify the ID column. ExtendInsights uses this value to identify which HubSpot record to update.

Step 5: Review the Results

After the upload completes:

  • Successfully updated rows are marked as successful.

  • Errors and warnings appear in the Results column.

  • If a row fails validation, correct the issue and upload it again.

Step 6: Verify Your Changes

Confirm that:

  • The intended records were updated.

  • All changes were applied correctly.

  • No validation errors remain.

You can also verify the updates directly in HubSpot.


Tips & Best Practices

Do not modify the ID column

The ID uniquely identifies each HubSpot record. Removing or changing it will prevent ExtendInsights from updating the correct record.

Download the latest data first

Reload records before making changes to ensure you're working with the most current information.

Use dropdown fields

For supported fields, select values from the built-in dropdown list to help ensure valid HubSpot values are uploaded.

Review upload results

If HubSpot rejects an update, the reason is displayed in the Results column.

For example:

  • Required field missing

  • Invalid value

  • Duplicate validation rule

  • Association warning

Correct the issue and upload the affected rows again.
