Moving to a new CRM often means transferring a large amount of existing customer and business data.
With ExtendInsights Data Management for HubSpot, you can prepare your migration data in Excel and create records in HubSpot in bulk. This gives you a structured way to review and organize your data before uploading it.
This article uses Companies as an example.
How to Migrate Data to HubSpot
Step 1: Prepare your data
Before creating your ExtendInsights template, prepare the Company data you want to migrate.
For example, your spreadsheet might include:
Company Name
Company Domain Name
Phone Number
Industry
Company Owner
Lifecycle Stage
City
State/Region
Country/Region
Review your HubSpot configuration and identify any Company properties that need to be populated for the records you are creating.
Step 2: Open ExtendInsights
Open Excel.
Launch the ExtendInsights app.
Select HubSpot from the data source list.
Step 3: Create a template
Click Create a Template.
Select an existing HubSpot connection or create a new connection.
Open the Configure section.
Select Company as the object.
Select the HubSpot fields you want to include in your migration.
Click Add when you are finished selecting fields.
The template layout should be similar to the data you prepared on Step 1.
Step 4: Review the template layout
Arrange the template so that it matches the structure of your prepared migration data.
You can:
Drag and drop fields to rearrange their order.
Hover over a field and select the pencil icon to update its configuration.
Select the trash icon to remove fields you do not need.
Matching the template layout to your source data makes it easier to copy and paste large datasets into Excel.
When the layout is ready:
Click Proceed to load the template.
Save the template for future use.
Step 5: Add your migration data
Add the Company records you want to create to the generated Excel template.
You can:
Enter data manually.
Copy and paste data from another spreadsheet.
Use ExtendInsights cell operations to populate supported property values.
For HubSpot properties that use predefined values, use the available values provided by ExtendInsights. You can select a value from the cell options or use type-ahead where available.
💡 Tips / Best Practices
Before uploading a large migration:
Clean and standardize your source data.
Make sure your template includes the HubSpot fields required for the Company records you are creating.
Confirm that values for fields from drop-down match valid HubSpot values.
Test your migration with a small set of records first.
Review the test records in HubSpot before uploading the full dataset.
Step 6: Upload the records
Once your data is ready:
Review the spreadsheet for missing or incorrect values.
Click Upload in ExtendInsights.
Allow the upload to complete.
Review the results for any records that require attention.
✅ Verification
After the upload completes:
Open HubSpot.
Go to your Companies records.
Search for several of the Contacts included in your upload.
Confirm that the records were created successfully.
Review key properties to make sure the migrated values appear as expected.
If ExtendInsights reports errors for specific rows, correct the affected data in Excel and upload those records again.
Other Migration Scenarios
The same general workflow can be used when migrating data for other HubSpot objects supported by ExtendInsights:
Prepare data → Create a template → Select fields → Load the template → Add data → Upload → Verify
This makes Excel a useful staging area where you can clean, organize, and validate CRM data before creating records in HubSpot.
