ExtendInsights HubSpot | Select valid HubSpot dropdown values directly in Excel

Overview

ExtendInsights HubSpot includes enhanced Dropdown Fields (Cell Operations) that make it easy to select valid HubSpot values directly from Excel.

For supported dropdown fields, you can browse available values or type directly into the worksheet. ExtendInsights automatically resolves your selection, helping ensure valid values are uploaded to HubSpot.

Note: Dropdown support is currently available for static dropdown fields only.


Ways to Select Dropdown Values

You can enter dropdown values in two ways:

  • Use the Dropdown Panel

  • Type values directly into the worksheet

Both methods help ensure valid HubSpot values are used during upload.

Method 1: Use the Dropdown Panel

The Dropdown Panel lets you browse and select available HubSpot values.

  1. Select a dropdown field.

  2. Open the Dropdown Panel.

  3. Search or scroll through the available values.

  4. Click a value to insert it into the selected cell.

This method is ideal when you want to browse all available options.

Method 2: Type Directly into the Worksheet

You can also enter values directly into the Excel cell.

ExtendInsights automatically attempts to resolve the value when you press Tab or Enter.

There is no need to manually look up or enter HubSpot IDs.


How Typed Values Are Resolved

When you type a value, ExtendInsights follows these rules.

✅ Exact Match

If one exact match exists, it is selected automatically.

Example:

You enter:

Qualified

Available values:

  • Qualified

  • Qualified to Buy

Result

Qualified is automatically selected.

⚠️ Multiple Matches

If multiple values match your entry and there isn't an exact match, ExtendInsights cannot determine which value you intended.

Example:

You enter:

Marketing

Available values:

  • Marketing Qualified Lead

  • Marketing Contact

Result

The value remains unresolved until you select one.

❌ No Match

If no matching HubSpot value exists, the value remains invalid.

Use the Dropdown Panel or enter a valid value.


Understanding Cell Status

ExtendInsights uses color indicators to show the status of dropdown value resolution.

Cell Color

Status

Description

⚪ Grey

Looking up value

ExtendInsights is checking the available HubSpot values.

🟡 Yellow

Multiple matches found

More than one matching value exists. Select a value or enter a more specific term.

🔴 Red

No match found

The entered value doesn't match any available HubSpot value.

When a value cannot be resolved, a message also appears in:

  • The Results column

  • The ExtendInsights task pane


Sample Scenarios

Scenario 1: Lookup in Progress

You enter:

Attempt

After pressing Tab or Enter, the cell briefly turns Grey while ExtendInsights searches for a matching value.

If a valid match is found, the cell returns to its normal state.

Scenario 2: Multiple Matches

You enter:

Market

Several matching values are available.

The cell turns Yellow, indicating that your input needs to be refined or selected from the Dropdown Panel.

Scenario 3: No Match Found

You enter:

hhhhhhhhh

No matching HubSpot value exists.

The cell turns Red, and an error is displayed.

To resolve the issue:

  • Enter a valid HubSpot value, or

  • Select one from the Dropdown Panel.


Tips & Best Practices

Use the Dropdown Panel when unsure

Browsing the available values helps prevent validation errors.

Enter specific values

Typing the complete value reduces the chance of multiple matches.

Review highlighted cells

Grey, yellow, and red cells indicate that ExtendInsights requires additional action before the value can be uploaded.

Static dropdown fields only

Dropdown support currently applies to static dropdown fields. Reference-based dropdown fields are not supported in this release.
