ExtendInsights Data Management supports Organization Templates, allowing templates to be shared across your organization. Templates saved as organization templates are automatically available to all licensed users in the same NetSuite environment.
This article explains how shared templates work, how to share new or existing templates, and how to update or copy templates safely.

Organization Templates help teams:
Standardize templates by record type
Avoid rebuilding templates from scratch
Ensure consistent data structure and mappings
Once shared, templates appear under the Organization Templates section for all users in your organization.
How Shared Organization Templates Work
When saving a template, you can choose to:
If Share within the organization is enabled:
The template becomes visible to all licensed users
It appears under Organization Templates
The original creator becomes the template owner
Share a Newly Created Template
After building a new template:
Enable Save as a Template.
Enable Share within the Organization.
Click Save and Enter Data.
The template is now available to all users in your organization.
Share an Existing Template with the Organization
To share a template that already exists:
Go to Menu → Templates → NetSuite Templates.
Hover over the template name and click the three-dot menu (⋯).
Select Edit → Edit Template.
Click Add Fields or Cancel to review the current structure, then click Continue.
Ensure the active worksheet is blank.
Loading the template will clear existing data when you click Yes.
Enable Share within the organization.
Save the template.
How to Update an Existing Template
Use this when:
New fields were added to the NetSuite form
Fields are missing or need to be rearranged
The template structure needs adjustment
Go to Menu → Templates → NetSuite Templates.
Hover over the template and click the three-dot menu (⋯).
Select Edit → Edit Template.
Click Add Fields or Cancel, then click Continue.
Ensure the worksheet is blank before proceeding.
Click Save and Enter Data to overwrite the existing template.
⚠️ Important:
Do not enable Save As New Template if you want to update (override) the current template.
Create a Copy of an Existing Template
Use this option when you want to:
Create a variation of a template
Preserve the original version
Follow the steps to edit an existing template (steps 1-4).
Enable Save As New Template.
Choose whether to Share within the organization.
Click Save and Enter Data.
Ownership Rules
Only the template owner can directly edit and overwrite a shared template.
Other users must create a copy before making changes.
Shared templates display the owner’s name.
FAQs
🔵 Who can edit a shared organization template?
Only the template owner can directly edit and override the existing template.
If a Team member were to share the updated version, TURN ON the Share within the Organization button.
🔵 Do team members need to copy a shared template before editing?
Yes.
Team members must enable Save As New Template to create a copy before making changes.Owners can choose to make a copy if they want to retain the original and build a variation.
Team members can not edit the shared template.
🔵 Can I use a template shared by another user?
Yes. Shared templates can be used by all licensed users and are fully recognized by ExtendInsights.
🔵 Will the calculations and formulas still work using our existing workbooks?
Yes. Existing workbooks, formulas, and processes will continue to work without changes.
🔵 Do templates work across NetSuite environments?
Templates are saved per NetSuite environment.
Templates created in Sandbox must be recreated or reloaded in Production.
Templates loaded from a workbook will still be recognized by ExtendInsights, but:
They will not automatically appear in the template list unless saved again.
