Admin: Shared Google Calendar for Calendar Autopilot Setup Guide

ExtendSync Google | Use Calendar Autopilot to sync shared Google Calendars with NetSuite

⚠️ Important
Legacy Calendar Sync has been deprecated.
This article applies only to Calendar Autopilot, the supported calendar sync solution for ExtendSync Google.

Many organizations use shared Google Calendars (e.g., Services, Support, Installations) where multiple users schedule events for a team. Calendar Autopilot supports syncing these shared calendars both ways between Google Calendar and NetSuite.

Prerequisites

  • Calendar Autopilot add-on is licensed and enabled

  • Google Workspace and NetSuite emails are aligned per your configuration

  • Google Admin and NetSuite Admin access for setup

  • The shared Google Calendar exists and is shared with appropriate users

  • CloudExtend admin added group.calendar.google.com Domain on the license record

Step 1: Create & Share the Google Calendar

Create a shared Google Calendar (e.g., “Services Calendar”) and share it with the required users/groups with appropriate permissions.

Step 2: Create a NetSuite Employee for the Shared Calendar

NetSuite Admin must create an Employee record to represent the shared Google Calendar.

  1. Create a new Employee record in NetSuite.

  2. In the Email field, enter the Calendar ID of the shared Google Calendar.

  3. For the employee name, use a name that identifies the shared calendar, such as Services Calendar.

How to find the Calendar ID

  1. Open Google Calendar.

  2. Go to Settings.

  3. Under Settings for my calendars, select the shared calendar.

  4. Locate and copy the Calendar ID.

Step 3: Assign Calendar Autopilot Licenses

Assign a Calendar Autopilot license to:

  • The employee record representing the shared Google Calendar.

  • Any users who need to participate in Calendar Autopilot syncing.

In NetSuite, go to:

Setup → Custom → Celigo CloudExtend Setup → User License

Complete the licensing steps, then click Finish.

Next Step: Understand Shared Calendar Sync Behavior

Once setup is complete, Calendar Autopilot can sync events between the shared Google Calendar and NetSuite.

How an event syncs depends on factors such as who the organizer is and which shared calendars or licensed users are included as attendees.

  • Events that should appear on both personal and shared calendars.

  • Events that should appear only on the shared calendar.

  • NetSuite → Google Calendar behavior.

  • Google Calendar → NetSuite behavior.

Best Practices

  • Use a dedicated shared calendar for each function, such as Services, Support, or Installations.

  • Include the shared calendar explicitly when creating events that should be associated with it.

  • Establish consistent organizer practices to help prevent unwanted events on personal calendars.

  • Confirm that users who need Calendar Autopilot syncing have the appropriate licenses.

  • Contact CloudExtend Support if shared calendar-only events do not sync as expected.
