Admin: Allocate ExtendSync Google end user licenses via Admin role or create a purpose-built role

Before You Start

If your organization has already completed Steps 1–3 (initial CloudExtend Setup, Google Authorization, and optional Calendar/OneWorld settings), you can skip directly to Step 4.

This is common when:

  • ExtendSync was installed previously

  • You are adding new employees

  • You are activating new components (e.g., GDocs or Calendar Autopilot)

  • You are revisiting the wizard after initial deployment


Steps to Allocate Licenses

Step 1: Open the CloudExtend Setup Wizard

In NetSuite, go to:
Setup → Custom → Celigo CloudExtend Setup

This step initializes the setup wizard.

➡️ If you’ve already completed this setup previously, move to Step 4.

Step 2: Authorizing Google to access the NetSuite account

🛑 Only required the very first time licenses are allocated.

  • If your org has already granted Google authorization, you can skip to Step 4.

  • In no circumstance should someone other than the Google Workspace Super Admin grant these permissions, doing so would remove permissions for all other users.

If this is your first time:

  1. A pop-up will appear → click Grant Access.

  2. If you don’t see the pop-up, click the “here” link to reopen it.

  3. Ask your Google Workspace Super Admin to log in to their Google Workspace account and grant access.

  4. Click on Next when you see the Thank You message

💡 After this approval, ExtendSync does not need Super Admin authorization again.

Step 3: Optional Calendar Autopilot

This screen appears only if:

  • You activated the Calendar Autopilot Add-On, or

  • You are using NetSuite OneWorld

If you’ve already configured these settings before, or if the add-on is not enabled, go directly to Step 4.


🛑 We recommended using the standard form Calendar for best results. Using forms with required custom fields that cannot be mapped will cause Event creation to fail.

Choose the relevant options to your account for the fields and click Next.

Step 4: Granting User Licenses

  1. Select the employees who will receive licenses.

  2. Assign the components relevant to your org:

    • CloudExtend Gmail

    • CloudExtend GDocs

    • CloudExtend Calendar Autopilot (Add-On)

  3. Use All to select/deselect employees in bulk.

  4. Click Next.

Step 5: Finish Setup

  • A confirmation page will appear.

  • Click Finish to return to NetSuite.

License allocation is complete!

All assigned users will automatically receive an email with:

  • Chrome Extension installation link

  • Login steps

  • Instructions for connecting to NetSuite


🎉 What’s Next?

After license allocation, end-users should install the Chrome Extension and sign in.
