Settings: Recommended end user customizations to make to CloudExtend Outlook

OLNS | We strongly recommend you make these customizations to CloudExtend before use for the best user experience

Updated over a week ago

There are several end-user level customizations that we recommend before you start using the app:

βœ… Change the Message Tab View in NetSuite

NetSuite requires that an email address be associated with an entity. In some cases, end-users will attach an email to a NetSuite record where the sender or recipient is not related to the record. In order to properly display the sender/recipient, we suggest that you modify the messages view in NetSuite to show email addresses as opposed to entities.

βœ… Pin CloudExtend Task Pane

Keep CloudExtend on the screen at all times so you do not need to click the Celigo button each time you move to another email.

βœ… Find Records Faster

Decide what records you want pulled back in the auto search. This allows you to see results with one click. Records not included can still be manually searched.

πŸ’‘ Note:

If you are on a Group Edition, the CloudExtend panel will be slightly different.

βœ… Create Outlook Categories

CloudExtend will attempt to automatically create and apply categories for you. Depending on your Outlook and Exchange versions you may need to create them manually.

βœ… Customize your forms so you can create, edit and view your NetSuite records quicker in Outlook

With CloudExtend, you can work in Outlook just as if you were in NetSuite. This includes the ability to add whatever standard and custom fields you work with in NetSuite on your forms in CloudExtend. For each record type that you want to customize, add all your fields in once and then you can edit and create records in Outlook just like you were in NetSuite!

And just like that, a new contact was created in NetSuite with all the fields I need! You configure the fields for each record type (IE Opportunity, customer etc.)

βœ… Set your File Attachment Sticky Preference

By default, no files will be automatically selected and you will be required to select them for each email you attach.*

Step 1: To view and/or change your sticky settings click the menu icon at the top left and then select File Attachment Preferences.

Step 2: Choose your desired default behavior. This is essentially a sticky setting that will apply to each email you attach moving forward. You can override the setting on a per-email basis if desired by selecting or unselecting attachments.

  1. No Attachment or Inline Images
Use this setting to ensure that no files are pre-selected. This is often desired to minimize storage space.

  2. Only Attachments
Emails can have both inline images and attachments. Selecting this option will ensure that every email has only file attachments pre-selected.

  3. Only Inline Images
Select this option to include only inline images by default. If users want to also include attachments they would need to select them for each mail attached.

  4. Both Attachments and Inline Images
Selecting this option will automatically add all file attachments and inline images to each email you attach.
