About this Release

This release comes with an enhancement in CloudExtend Excel for NetSuite. We now have an option to transfer the ownership of your workbook from Settings to a desired email address in your organization. This would help your organization to continue with day-to-day activities in your absence.

What Has Changed in this Release

Enhancements

  • [Analytics] Transfer ownership of the workbook

We have added an option to provide an email address in the Settings under the 'Transfer Ownership' section so that you can transfer the ownership to the desired user in your organization by providing the email address

  • The user who received the transfer request will see a message to 'Accept and Proceed'. The user will have to manually assign connections to available Saved searches.

Deprecations & Removals

No deprecations or removals in this release.

Version: 9.2.3 (July 2024 Update)

Date: 15th July 2024

About this Release

This release comes with few enhancements and bug fixes in CloudExtend Excel for NetSuite. We now have a global setting for Selected records selection for all data operations in Settings view so that you can set your preference at once whether you like to do the data operations for all rows or selected rows. This would help you avoid the extra click when you are uploading or refreshing or deleting data.

This release also comes with a new setting for Analytics users where they can check the status of their Microsoft Grant given for Scheduling. This is particularly useful when your Microsoft Admin has revoked the access by mistake and your scheduled searches are no longer running. In the app we would detect such a case and ask you to Regrant access from Settings.

This release also brings back a feature from our old version which allowed users to reorder sublist fields in between header level fields while creating or editing template. From this release onwards you can reorder fields the way you want and won't be restricted to have all sublist fields together in a template.

This release also includes a bug fix where change in active cell after initiating an upload or download was causing the app to pick data from that selection rather than the initially selected cell. This is now fixed.

What Has Changed in this Release

Enhancements

  • [Data Management] Global Setting for Selected Rows

We have added a global setting called Use selected rows only in Settings which you can access from the left menu of the app. Once turned on or off, all the data operations would take this setting as the default for all data operations.

For instance, your use case involves uploading all rows every time for record types you work with, and you don't want to turn off the setting each time you upload. You can now turn off the setting in Global Settings and you would have Upload All records as default option for all your uploads. Same behaviour is seen for other data operations as well i.e. Reload records and Delete.

  • [Data Management] Ability to reorder sublist fields outside of sublist in template

With this release, we are bringing back the ability to reorder sublist fields outside of sublist while creating or editing a template so that you can order your fields as per your input data and you are not restricted to ordering fields within a sublist.

Note: With above in place, we assume that you would enter data properly for each sublist field while uploading where each header level field needs to be repeated for each new line in sublist and sublist field would have values distinct for each line.

  • [Analytics] Setting to check your Microsoft Grant Status for Scheduling

We have introduced a new setting for Analytics users called Microsoft Grant Status which would help users know if the Microsoft Grant Consent they have given to CloudExtend to access their Excel sheet online so that schedules run properly is still active or Expired. This setting will have 3 statuses

    • Active - Status would be active if your Microsoft Grant is active and not revoked by your MS admin either manually or due to any policy change.

    • Expired - Status would be expired if your Microsoft Grant was revoked. This could be due to any reason: either your MS admin revoked it or due to any policy change etc.

    • Not Granted - Status would be Not Granted if you haven't used the scheduling feature until now. When you try to schedule for the first time you will be asked to give Microsoft consent after which the status would turn to Active.

When you open a workbook where a search is running on schedule and the grant has expired you will see an appropriate error message guiding you to Settings page from where you can Regrant access.

Deprecations & Removals

No deprecations or removals in this release.

Fixed Issues

  • Issue with data operation if active cell selection is changed after an upload or download is started: There was an issue where if the active cell changed after we initiated an upload or download, app was taking in data from the current active cell but not the one where the selection was initially. This is fixed now. Even though active cell changes your operation should continue to run fine.

Note: Even though active cell can change but if you edit a cell then the current operation either upload or download would be interrupted as we would get an exception from Excel. So, we would encourage you to edit the sheet only after the operation is done and not in middle.

Version: 9.2.1 (May 2024 Update)

Date: 2nd May 2024

About this Release

This update applies to the CloudExtend Excel for NetSuite NextGen version only.

If you have not yet upgraded to the new NextGen version learn more about the new version and how to upgrade here.

The latest version of CloudExtend Excel for NetSuite NextGen(v9.2.1) includes an enhancement to connection that would allow users to update existing connection. This enhancement would be useful for Analytics users who had their reports setup in one connection and later they wanted to update the connection and wanted their reports to be updated to point to new connection. This would also be useful when your connection becomes invalid due to token issue in NetSuite and you can quickly update it in the app itself. This release also includes fix for an issue where users were unable to refresh reports related to custom records in Analytics. This is fixed now. This release also includes fix for an issue where users were facing a timeout issue during Refresh in Analytics feature set. This is fixed now.

What’s New in this Release

No new features have been added in this release

What Has Changed in this Release

Enhancements

  • Ability to update connection

With this release, you would now have an option to update your connection to point to a different role or you can update the connection when your existing connection becomes invalid due to token revoke in NetSuite.

For Analytics users, this feature would be helpful in following cases:

    • Connection becoming inactive due to token revoked in NetSuite: If you had scheduled few searches in the app and later if someone revokes the NetSuite token created by CloudExtend connection, then all your scheduled searches would start failing with an error saying, "Invalid login attempt". In this case you can update your connection, connect to NetSuite account and all your searches would start working again.

    • Transfer searches pointing to one connection to another connection: If you had created reports using a test connection like a sandbox connection and now you want to setup the same reports in your Production account, all you have to do is update the existing connection and all reports would be updated to point to new connection. Note that in this case, you should be having the same searches in Production account as in Sandbox. Else the searches which are not present in Production would give an error with new connection.

To Update connection, you can navigate to Left Menu and select Connections. Click on the 3 dots option on the connection card you want to update and select Update option.

Once you click on Update, you will be asked to enter your NetSuite account number and login to your NetSuite account.

Once you complete logging in with your NetSuite account, you will be shown a preview of scheduled saved searches belonging to this connection across all your workbooks as shown below.

You can see a summary of all your scheduled saved search runs with the updated connection. If there is an error running the report using updated connection, you will see that in the Status column. Once you review all the searches, you can confirm your update. Once done, your connection would be updated and all your searches will now point to the updated connection.

Deprecations & Removals

No feature deprecations or removals in this release.

Fixed Issues:

  • Issue with Refreshing reports: There was an issue where users were getting a timeout error when they were trying to refresh some of the reports in Analytics.

This is fixed now. Users should be able to refresh reports without any issue.

  • Issue with refreshing custom record reports: There was an issue with refreshing reports related to custom records in Analytics. If you had a saved search for any custom record in your NetSuite account and you were trying to refresh it using the Analytics app, you would get an error as shown below:

This is fixed now. You will be able to refresh reports related to custom records in Analytics without any issue.

  • Issue with downloading date fields that are not in MM/DD/YYYY format: There was an issue with downloading date fields in reports of Analytics when your NetSuite was using a different format for date other than MM/DD/YYYY. Before this release, we used to advise users to apply this workaround for the date field values to be written properly to Excel sheet. This workaround is not required anymore. The data should be downloaded and displayed in correct format as in NetSuite and Excel would consider it as a date value.

Version: 9.2.0 (Apr 2024 Update)

Date: 15th April 2024

About this Release

This update applies to the CloudExtend Excel for NetSuite NextGen version only.

If you have not yet upgraded to the new NextGen version learn more about the new version and how to upgrade here.

The latest version of CloudExtend Excel for NetSuite NextGen(v9.2.0) includes an enhancement to Filters which would make them global. This means that you can now access your filters across workbooks, in different browsers and filters are no longer restricted to one workbook. As long as you are connected to same NetSuite account, filters should be available at all places for you to use. This release also includes the enhancement to delete unused filters. Now each filter will have an option to delete it. This release also includes fix for an issue where some users were facing an error while upload saying unexpected error occurred or another error saying filterBy is required. These issues are now fixed.

What’s New in this Release

No new features have been added in this release

What Has Changed in this Release

Enhancements

  • Filters are now global and not restricted to your workbook:

Before this release, in the next gen app if you created a filter, you could use that filter only in the current workbook you are working on. If you created a new workbook or you switched browsers or your machine then you had to create the filters from scratch again. This is now changed. With this release, filters are global and they can be accessed at any location be it online or desktop or new machine or new workbook as long as you are connected to same NetSuite account.

Note: Filters are shown corresponding to the record type selected. So, if you have selected a transaction record type like Sales Order, all Sales Order related filters would be visible. Similarly, if you have selected Contact record type, all contact related filters would be visible across your workbooks.

  • Ability to delete unused filters

With this release, you now have the option to delete unused filters against each filter as shown below.

Delete option is available when you hover over the filter. You will be shown a warning before proceeding with delete. Once deleted, this filter will no longer be available for use in CloudExtend. Any filters you no longer require can now be removed using this option.

Deprecations & Removals

No feature deprecations or removals in this release.

Fixed Issues:

  • Formatting not getting cleared after Reload operation: There was an issue where after you perform a reload operation, the formatting of the Reserved column was not getting cleared. This was causing confusion among users as they were not sure if the data was actually refreshed from NetSuite or not. This is fixed now.

  • Issue with uploads: There was an issue with uploads where some users were getting an error saying "CloudExtend ran into an unexpected error" while performing upload. This was happening when large amount of data was being copy pasted at once and there were many picklist fields with values in it. This is fixed now. Upload should happen without any issue.

  • Issue with uploading Estimates: There was an issue for some customers who did not have the bundle installed where they were unable to upload Estimates data and were getting an error as shown below:

This is fixed now. Users should be able to upload Estimates without any issue.

Version: 9.1.7 (Jan 2024 Update)

Date: 17th Jan 2024

About this Release

This update applies to the CloudExtend Excel for NetSuite NextGen version only.

If you have not yet upgraded to the new NextGen version learn more about the new version and how to upgrade here.

The latest version of CloudExtend Excel for NetSuite NextGen(v9.1.7) includes a fix for an issue with item options update and refresh in transaction records. This release also includes a change to default behaviour of selected records selection in Upload, Reload and Delete operations. The default option will now be selected rows instead of all rows. This release also includes a fix for an issue where if user had any pending burst mode uploads in old app, he was unable to Upgrade to new version. This is fixed now. Also, we advise users to complete the download of results of their completed burst mode uploads before upgrading as after Upgrade, users will not have an option to download the results of old app burst mode uploads.

What’s New in this Release

No new features have been added in this release

What Has Changed in this Release

  • Selected rows would be a default option for Upload, Reload and Delete operations:

Previously, when user was trying to upload or delete or reload records, the default option in the add in was to do it for all records in the table. The toggle shown below was turned off by default. So, if user selected few records in Excel and clicked on Upload, Delete or Reload, all records were being submitted as that was the default. This behaviour is now changed. The default would be records from selected rows. And if user wants to upload all records in the table, he can just turn off the toggle so that all records in table are uploaded.

  • Make sure to complete burst mode uploads of old app before Upgrading:

Once you have tried all the features of the new app and are ready to completely switch to the new app, please make sure that you download the results of all your completed burst mode uploads in old app. Because once you upgrade you will not be able to download the results of those burst mode uploads. In new version, results are auto downloaded for background uploads. You will see this on the consent window as well when you click on Upgrade either in old app or new app.

Note: The timeline to upgrade to the new version is extended until February 10, 2024. Users that have not upgrade before will be automatically upgraded on February 12, 2024.

Deprecations & Removals

No feature deprecations or removals in this release.

Fixed Issues:

  • Issue with Item Options field in transaction records: There was an issue uploading values for Item Options field in transaction record. There was also an issue where we were not getting values of this field when download or reload was performed. This is fixed now. You should be able to work with Item Options field in transaction records.

Note: Item Options fields of all types are supported except List/Record and Document. This was the same in previous version as well. There is an issue in getting values for such types of item option from NetSuite. We are evaluating workarounds for it.

  • Issue with Upgrading to new version if there were any pending burst mode uploads: There was an issue with upgrading to new version if user had any pending burst mode uploads in old app. This is fixed now. User can upgrade successfully without any issues. One important note here if you have any pending burst mode results that are yet to be downloaded, please make sure to download them before Upgrading, as you will not have an option to download them in new app. In new version we auto download the results once the background upload is completed.

Version: 9.1.6 (Jan 2024 Update)

Date: 9th Jan 2024

About this Release

This update applies to the CloudExtend Excel for NetSuite NextGen version only.

If you have not yet upgraded to the new NextGen version learn more about the new version and how to upgrade here.

What’s New in this Release

No new features have been added in this release

What Has Changed in this Release

  • Downloads should be faster on templates without sublist fields:

Previously, when downloading records without sublist fields defined in the template, CloudExtend also unnecessarily fetched all sublist data in the background slowing down your downloads. With this release we only retrieve header-level fields when your template does not contain sublist fields resulting in faster data downloads.

  • Upgrade from within the app:

Once you have tried all the features of the new app and are ready to completely switch to the new app, you can choose the Upgrade Now option on the home screen as shown below. Upon selecting it, you will be asked to login with your NetSuite account. Once you login with NetSuite email address, all your templates from the old app will be migrated to the new app and your upgrade will be complete.

Note: The timeline to upgrade to the new version is extended until February 10, 2024. Users that have not upgrade before will be automatically upgraded on February 12, 2024.

Deprecations & Removals

No feature deprecations or removals in this release.

Fixed Issues:

  • Issue with creating Intercompany Journal Entry record with more than 1,000 lines: There was an issue creating Intercompany JE and Advanced Intercompany JE which had more than 1000 lines. Background upload would work if that was default but not real time upload. This is now fixed.

  • Issue with download when template has numerous fields: There was an issue with downloads failing for a template which had many fields in it. For ex: If you had around 20 fields in which most of them were sub list fields, the download operation was failing. This is fixed now.

  • Issue with incorrect data being downloaded: There was an issue where default values for fields were being written after download when those fields didn't have any value in NetSuite. For ex: If you had a field of type number in NetSuite which didn't have any value in NetSuite, on download the value for it was written as 0 in Excel. This is fixed now.

  • Issue with changes in column header not being detected immediately: There was an issue where changes in column header or any change to field id in Row 1 by a power user was not recognized immediately. User had to switch to another sheet and come back for further operations like download or upload to work. This is fixed now. Changes should be detected, and further operations should work seamlessly.

  • Issue with Reserved column resize when warning or error message is too long: There was an issue where the Reserved column would auto resize as per the length of error message or warning message we get from NetSuite after an operation. Many a times if the text was too long it would be an annoyance to user, and they would have to resize it themselves before proceeding.

This is fixed now. The Reserved column would have a standard width and won't resize automatically based on the error or warning text.

Once submitted you will be taken to the screen where you can get familiar with our Getting Started Guide and also check your trial status. Once your trial is setup by CloudExtend team, check trial status call would succeed and you will be taken to NetSuite Connection creation view.

  • Support for Gift Certificate record type:

You will now be able to create Gift Certificate record via the transaction records Sales Order, Cash Sale and Invoice. Make sure to add the Gift Certificate related fields in your transaction template. Once done, Gift Certificate record would be created in NetSuite with a unique GC code. You can use the Gift Certificate template to update fields like email, expirationDate, message, name and sender. Following fields can not be updated: original amount and remaining amount. You cannot delete the Gift Certificate record as it is not supported by NetSuite. Download and refresh can be done.

Version: 9.1.0 (July 2023 Update)

Date: 27th July 2023

About this Release

This update applies to the CloudExtend Excel for NetSuite Beta version only. The latest version of CloudExtend Excel for NetSuite Beta(v9.1.0) includes merging both the Excel applications CloudExtend is offering in one app providing users a unified experience (features for both apps are contingent on licensing all the features).

Users of our CloudExtend Analytics for NetSuite application can now access the Analytics application right from within the beta app. It also comes with multiple connections support for Analytics users unlike the current app where all their reports are bound to one connection and multiple connections are not supported. It also comes with support for new record types: Inventory Cost Revaluation and Manufacturing Cost Template record type. It also includes a fix for an issue with location list: location id field in Inventory item template showing blank values on downloading. This is now fixed. It also includes fix for an issue where we were unable to create a prospect record.

What’s New in this Release

  • Merging Data Management and Analytics features in Beta app:

With this release, beta users will now have access to both Data Management and Analytics app in a single application provided they have licenses for both. They no longer must install separate applications, go through the setup, login and connect to NetSuite process in each of the apps. In the new app, users would just have to login with their Microsoft or Google account once and connect to NetSuite and they would have to access to both feature sets of Data Management and Analytics in single UI and they can seamlessly switch between the two and work with their NetSuite data.

    Note:

If you are on an Analytics report and try to access Data Management features those features would be disabled. Users can, however, use the data downloaded by the Analytics app in a Data Management template to upload via Data Management. For more such tips on how to make the most of both the apps you can refer to this article.

  • Multiple connections support for Analytics users

With this release, Analytics users will now be able to add multiple connections and run reports belonging to multiple connections in the same workbook. You no longer have to disconnect from current NetSuite account, stop the schedules to connect to a different NetSuite account. You can simply add a new connection and set it as active to work with that NetSuite account.

Note: When you set a connection as Active that means you will be able to fetch saved searches of your active NetSuite connection while creating a report but if you want to manually refresh reports on your workbook belonging to different connections you can do that.

Note: The transfer ownership feature of Analytics where users disconnected their account and shared their workbook to their colleague to transfer ownership is not yet part of beta app. It will be part of a future release. Right now if you share the workbook the reports would be read only to your colleague.

What Has Changed in this Release

Enhancements

  • Ability to name your connections

You will now be able to give a user friendly name to your NetSuite connections so that you can easily refer to the connection with that name in future. You will also be able to edit the connection name inline and save it.

  • Support for Inventory Cost Revaluation record type:

You will now be able to create, update, download and delete Inventory Cost Revaluation record type from beta app. This record has a limitation in NetSuite where we are unable to get values for component items field. We implemented a workaround where users can now see all items in item drop down. It will be on user to select the correct item.

Note: Downloading saved searches belonging to this record is still not supported. It will be supported in a future release

  • Support for Manufacturing Cost template record type:

You will now be able to create, update, download and delete Manufacturing Cost records in NetSuite from beta app. There is a field called Cost Detail List: Item in this record which has an issue from NetSuite where its not returning the correct set of items. As a workaround, we are showing all Other Cost items in the list for user to select.

  • Bundle install warning before creating NetSuite connection

Users will now be informed that bundle install is mandatory before creating NetSuite connection in the app itself so that users can avoid any errors when they try to use that Connection.

  • Issue with creating prospects: There was an issue with entity status field in Customer record type where if we want to set the status as Prospect and create Prospect record, it was giving an error. This is fixed. now.

What Has Changed in this Release

Enhancements

  • Support for Intercompany Transfer Order record type:

You will now be able to create or update Intercompany transfer orders from beta app. This record has an open defect in NetSuite where we are unable to get values for item field and transfer location. We implemented a workaround where users can now see all items in item drop down and all locations irrespective of subsidiary selected. It will be on user to select the correct item and location.

Note: Download of this record type is still having an issue. We have opened a support ticket with NetSuite for the same (ticket id: 5109579) Once NetSuite fixes this, download should work fine.

  • Support for Vendor Subsidiary Relationship record type:

You will now be able to update subsidiary list corresponding to a Vendor in NetSuite. In Vendor record type users were not able to give a list of subsidiaries when creating or updating the record. NetSuite has exposed a different record type called Vendor Subsidiary Relationship to perform such update. With this release, this record will now be supported and you can associate list of subsidiaries to a Vendor in NetSuite.

  • Templates option now available in Left Menu

You will now be able to navigate to Templates from Left Menu once you load the template in case you want to edit the template after reload and add or remove any fields. Before this release, users had to create a new sheet or clear existing table to view the home page and then navigate to templates. This experience is now improved and users can directly navigate to templates view from left menu after template is loaded.

Removals

No feature removals in this release.

Fixed Issues:

  • Issue with updating a specific price level value in Pricing Matrix of an Item: There was an issue with updating a specific price level value in Pricing Matrix of an Item. Even though we would set the field replace All as false, it would still override all values in NetSuite with the ones sent in update request. This is now fixed. Users should be able to edit price values belonging to specific price level in the Pricing Matrix and other values can remain as is.

Version: 9.0.1 (March 2023 Update)

Date: 9th March 2023

About this Release

This update applies to the CloudExtend Excel Data Management for NetSuite Beta version only. The latest version of CloudExtend Excel Data Management for NetSuite Beta(v9.0.1) includes support for Pre-built Templates and Refreshing Picklist values. It also includes support for Item Demand Plan record type. It also fixes an issue with picklist values not loading when we first move to picklist cell.

What’s New in this Release

  • Support for Pre-built templates:

With this release, the beta app will now support Pre-built templates using which you can get started very quickly without having to build a template from scratch. You will get access to 40 Pre-built templates spanned across commonly used record types which have commonly used standard fields in each so that users can easily load them with one click and start downloading or creating records

    Note:

You can use these pre built templates as is or edit them and add or remove any fields you want. Once you edit them these templates will be saved to your profile and they would be visible under My Templates section.

  • Refresh Picklist Values

With this release, you will now have an option to Refresh picklist values so that any new value added in NetSuite and not visible in the picklist options inside the Beta app can now be brought in by using the Refresh picklist option.

  • Support for Item Demand Plan record

With this release, users now can work with Item Demand Plan record. This record is useful to maintain future inventory (based on daily/weekly/Monthly basis) for an item based on it's past orders. This record type was not exposed before as there were some outstanding issues. Those are now resolved and this record is now available.

What Has Changed in this Release

  • Default number of rows required for upload to default to background mode is changed:

In the first release of beta, if your table had more than 200 rows of data, we would switch to background mode of upload by default. This is now changed as we understand that users can have 200 rows of data for a custom record or a single Journal Entry with 200 lines and they would still want that upload to go via real time. So the new values are as below

    • For Journal Entries if there are more than 1000 rows in table, it defaults to background mode of upload

    • For all other record types, if there are more than 5000 rows in table, it defaults to background mode of upload

Note: 💡 Users will still see the prompt to switch to background mode if one of their batches takes more than 40 seconds to upload. They can either ignore it or switch to background mode at that point.

More details about defaulting to background upload can be found here

Deprecations

No feature deprecations in this release.

Removals

Fixed Issues:

  • Issue with picklist values not loading when we move to that cell: There was an issue with picklist values where when we load the template for first time and try to view picklist values for a cell, it wouldn't load the values. Users had to switch cells for it to load the values. This is now fixed.

  • Issue with Other Ref Number filter for SalesOrder: There was an issue where users were not able to download with filter for field Other Ref Number in Sales Order record and were seeing an error like below.
