Admin: CloudExtend Customer Portal for ExtendSync Outlook

Subscription Admins can log in at subscriptions.cloudextend.io with their Microsoft account to manage end-user licenses and assign other administrators.

💡 Note: The Account setting in setup is only required for Enterprise Edition to enable Email Autopilot. Group Edition subscribers can skip this field.

Login

  1. Sign in with your Microsoft ID (usually your Microsoft 365 email address provided to your Customer Success Manager).

  2. On the navigation pane, click Users tab to allocate licences and add admin users.


Add Admin Users

If you are the Super Admin (primary admin), we recommend adding at least one additional admin.

💡 Note:

  • The Super Admin is assigned to the billing email address used when CloudExtend was first configured.

  • Super Admin, Admin, and Config Admin roles do not require a subscription license.

  • If you need to update the Super Admin information, please contact your Customer Success Manager (CSM).

  1. From the Users tab, click Add User.

  2. Enter the following:

    1. First Name

    2. Last Name

    3. Admin’s Microsoft account email address.

    4. Subscription

    5. Role (Super Admin, Admin, Config Admin)

  3. Click Add User once done.

Allocate Licenses

The Users page shows all user accounts, subscriptions, and roles. From here, you can:

  • Add new users individually or in bulk(coming soon).

  • Search for users.

  • Assign or configure licenses.


Add Users

Add licenses to CloudExtend users.

  1. From the Users tab, click Add User.

  2. Enter the following:

    1. First Name

    2. Last Name

    3. Admin’s Microsoft account email address.

    4. Subscription

    5. Role (User, Admin, Config Admin)

  3. Click Add User once done.

📩 Once allocated, users receive an email from ExtenInsights within a few hours with installation instructions.

📌 If your organization uses Microsoft 365, your 365 Admin can also install the app centrally.

Update User or Subscriptions

Modify CloudExtend user's profile.

  1. From the Users tab, click on the pencil icon of the user to update.

  2. Admins can update:

    1. Email Address

    2. Subscription

    3. Role (User, Admin, Config Admin)

    4. Click Save once done.

Remove Users

Use the trash icon to unassign CloudExtend licenses from users.


Features and Add-ons

Enable Email Autopilot (Enterprise Only)

Email Autopilot automates email saving in NetSuite.

  • Thread-based Autopilot: Attach an email to one or more records. All replies in the thread automatically sync to those records.

  • Email address Autopilot: Automatically track all emails to/from a specific address and sync to the correct NetSuite record type.

Enable Attachment Autopilot (Enterprise Only)

Users can effortlessly set an entire thread or automate an email address — including attachments! 📎

All future emails set on Autopilot will automatically sync complete with attachments to NetSuite with no extra clicks!

Send from Outlook (Starter & Enterprise)

This feature lets you send emails directly from NetSuite’s interface via Outlook.


Enable CloudExtend Extend Docs (Add-on or Standalone)

To optimize NetSuite storage, CloudExtend provides the capability to automatically sync emails with attachments to NetSuite, while storing the attachments directly in cloud storage (OneDrive or SharePoint).


Enable Calendar Autopilot (Add-on or Standalone)

Outlook events will sync automatically with NetSuite, including:

  • Updates to time, date, or agenda

  • Attendee changes

  • Event declines or deletions
