Before you start using ExtendSync, we recommend completing a few quick customizations to make your experience faster, easier, and more efficient.
These settings help you find records faster, keep ExtendSync visible, and optimize how emails and attachments are handled.
๐งญ Recommended Customizations
โ Change the Message Tab View in NetSuite
By default, NetSuite displays the entity name (e.g., Contact or Customer) in the Messages tab, not the actual email address.
To make communication tracking clearer, customize your Messages view to show email addresses instead.
Why it matters:
Helps identify the actual sender/recipient when the email isnโt tied to a related entity.
Makes troubleshooting and searching easier when reviewing past communications.
โ Pin ExtendSync Task Pane
Keep the ExtendSync panel visible as you move between emails so you donโt need to reopen it each time.
Open any email in Outlook.
Launch ExtendSync.
Click the ๐ Pin icon in the top-right corner of the panel.
Example:
โ Find Records Faster
Decide which record types ExtendSync automatically searches when you open an email.
This helps load relevant NetSuite results instantly.
Go to Menu โ Settings โ Configure Records Filter.
Choose the record types you want ExtendSync to return automatically.
Save your changes.
๐ก Tip: You can still manually search for record types not included in your filter.

If youโre on the Starter Edition, your ExtendSync panel may look slightly different.
โ Customize Forms for Creating & Editing Records
Work in Outlook just like you do in NetSuite!
ExtendSync allows you to customize record forms so you can create, view, or edit records directly from Outlook.
To customize:
Open ExtendSync โ start creating or editing a record.
Click Configure Fields.
Add or remove standard and custom fields that you regularly use in NetSuite.
Save your form layout.
Now, every record you create or edit in Outlook will display only the fields that matter to you.
โ Set your File Attachment Sticky Preference
Control how file attachments are selected when saving emails to NetSuite.
By default, attachments are not automatically selected โ youโll need to choose them each time.
To change this:
Go to Menu โ Settings โ File Attachment Preferences.
Choose whether attachments should be:
Always included
Always excluded
๐ก Tip: Sticky settings save time if you often include or exclude attachments the same way.

โ Set Attachments for Autopilot (Enterprise Only)
If youโre using Email Autopilot, you can decide how attachments and inline images are handled for ongoing emails.
Go to Menu โ Settings โ Autopilot Preferences.
Choose whether to include or exclude attachments automatically for future synced emails.
โ Create Outlook Categories (Optional)
ExtendSync automatically applies Outlook categories to indicate when emails have been synced to NetSuite.
Depending on your Outlook or Exchange version, you may need to create these categories manually if they donโt appear automatically.
๐ก Tip: Categories make it easy to identify which emails have already been logged to NetSuite.
