Admin: How to Manage ExtendInsights Analytics for NetSuite Licenses and Users

This guide explains how administrators manage ExtendInsights Analytics for NetSuite licenses and users for subscriptions using the CloudExtend portal.

Use this article to:

  • Log in to the CloudExtend Admin Portal

  • Add or remove admin users

  • Assign or revoke end-user licenses

Log In to the CloudExtend Admin Portal

  1. Go to subscriptions.cloudextend.io

  2. Sign in using your Microsoft ID

    • This is typically your Microsoft 365 work email

    • This email was originally provided to your Account Manager

How to Add and Remove Admin Users

  1. In the Admin Portal, click Admin Users

  2. Enter the user’s email address

  3. Click Add Admin

  4. To remove an admin, click the Delete (trash bin) icon

💡 Notes

  1. The admin email must be a:

    • Microsoft 365 account

    • Microsoft ID

    • Google account

  2. If a user’s NetSuite email differs from their Microsoft or Google email:

    • Update the email in the ExtendInsights license assignment

    • Replace the NetSuite email with the Microsoft/Google email


How to Add Licensed Users

  1. Click Manage Licenses

  2. Select Licenses

  3. Review your subscription details at the top of the page

  4. Enter the user’s email address

  5. Click Add User

  6. Repeat for additional users as needed

🚨 Important
Once a license is assigned, the user automatically receives an email with installation and onboarding instructions

Identity and Login Behavior (Expected)

This is expected behavior for ExtendInsights Analytics:

  • User login identity is tied to Microsoft or Google, not NetSuite

  • Users do not need to sign out to:

    • Switch NetSuite roles

    • Switch NetSuite accounts

  • NetSuite connections can be changed using Connections from the menu after login


How to Remove a Licensed User

  1. Go to Manage Licenses

  2. Locate the user in the licensed user list

  3. Click the Trash Bin icon next to the user

The license is immediately freed and available for reassignment.


Verification

License management is working correctly when:

  • Admins can log in to the CloudExtend portal

  • Admin users appear correctly in Admin Users

  • Licensed users appear under Manage Licenses

  • End users receive onboarding emails after license assignment


Best Practices

  • Maintain at least two CloudExtend admins

  • Always assign licenses using Microsoft or Google email addresses

  • Remove licenses promptly when users leave the organization

  • Review license usage regularly to avoid over-allocation
