What is ExtendSync Autopilot?
Autopilot for Email is an optional add-on that automatically attaches all future emails to NetSuite records once the first email has been attached, saving time and ensuring every follow-up message is stored.
This guide walks administrators through the steps required to enable Autopilot for their organization.
Prerequisites
Your organization has an active Autopilot Add-On license

🚨 Important Notes (Read Before Proceeding)
❗ Autopilot must be authorized per Google Workspace domain
The authorization step below must be taken for each Google Workspace domain you will be using. Failure to complete the authorization for each domain will cause Autopilot to fail when processing emails for unauthorized domains.
Admin Steps to Enable Autopilot
Autopilot setup consists of two parts:
Google Workspace Authorization
NetSuite Configuration
Complete both sections below.
Google Workspace Authorization
Autopilot requires elevated Google API permissions to monitor Gmail threads in real time.
Step 1: Open Manage Domain Wide Delegation
On your Google Admin Home
Go to Security→ Access and data control → API Controls.
Under Domain wide delegation, click Domain Wide Delegation.
Click Add New.
Step 2: Add the Autopilot Client ID and Scopes
A pop-up window will appear then enter the Client ID and OAuth Scopes. Use the following values:
IMPORTANT
Check for extra spaces at the start and end of the copied IDs and remove them if there are any.
Autopilot is only for Enterprise Customers. Skip this step if you are not on Enterprise.
6. Click Authorize.
Step 3: Repeat for Every Domain (If needed)
If your company uses multiple Google Workspace domains:
Repeat Steps 1–2 for each domain
Failing to do so causes Autopilot to not work for users under an authorized domains.
NetSuite Configuration (Company Wide-Setting)
Once Google Workspace is authorized, configure NetSuite so Autopilot can store emails correctly.
Step 1: Enable Partner Relationship Management
Even if you do not use Partner Management, Autopilot requires this feature.
Go to Setup → Company → Enable Features
Open the CRM tab
Scroll to Partners
Enable Partner Relationship Management
Step 2: Enable SOAP Web Services + Token-Based Authentication
Still in Enable Features:
Go to the SuiteCloud tab.
In SuiteTalk section, Enable check box for SOAP Web Services
In Management Authentication section, enable check box for Token-Based Authentication.
Step 3: Enable Rich Text Editing
ExtendSync will respect this as the tokens (next step) and will associate the admin preferences for ExtendSync. Without this setting emails will be synced as HTML.
Step 4: Create Access Tokens
Autopilot requires a Token ID & Secret created using the same NetSuite role that will run the Autopilot.
If not using the Admin role, ensure the custom role has full edit access to all NetSuite records involved in email storage.
From the home page (scroll to the bottom left), select Manage Access Tokens and then select New My Access Token.
Select the application, Celigo CloudExtend for Google Apps, accept the default name provided, and click Save.
Save the Token ID and Secret in a secure location such as LastPass as this page will not be available to you again.
⚠️ You cannot retrieve the secret again — you must recreate it if lost.
Enable Autopilot for Emails
Now that you have your token and secret you are ready for the final step.
👉Note, the user performing the steps below must also have an ExtendSync Google license allocated to them (even if only temporary to perform this action) before the Autopilot settings will be visible.
Typically a NetSuite Admin will perform the steps below. If desired, permissions can be allocated to non-admin roles as outlined here.
In NetSuite, go to Setup > Custom > Celigo CloudExtend Setup.
Click Next to get to Step 2.
Look for the Autopilot settings configuration pane.
Enter the Token ID and Secret from the above step and click Submit.
Autopilot is now enabled.
To Disable Autopilot
Select Off and click Submit.
⏳ Activation Time
After Autopilot is enabled, allow up to 24 hours for full activation.
Known Issues
Users Gmail address that is different than their NetSuite email
Typically customers use the same email to login to Gmail as they do for NetSuite so the license records match.
But what if you have users with Gmail addresses that are different than their NetSuite employee license? For example, an employee has a NetSuite license email of phani@celigo.com and needs to use ExtendSync with a different email, phani@cloudextend.io. No worries, we support this as well.
➡️ Configure ExtendSync for users whose Gmail address is different than NetSuite or your org has multiple domains
Attachments on follow-up emails
Autopilot attaches files only to the first email stored in the thread.
Subsequent emails added by Autopilot will not include file attachments.
