ExtendSync Outlook | Get to know why we built this new application

Updated over a week ago

You spoke, we listened, and we've been busy working on building the best Outlook/NetSuite integration ever and it's ready for you.

Introducing the new features of ExtendSync for Outlook NetSuite ! πŸš€

There are two prerequisites

Install the SuiteApp (admin)

Your NetSuite admin will need to install our new SuiteApp in your NetSuite instance as outlined here.

Grant Microsoft API Consent

Your Microsoft 365 admin will need to grant consent for ExtendSync as outlined here.

⚠️ When using the New App, please review the following important information:

  • Thread-based and Email Address-based Autopilot will continue to work in the new app.

  • Any emails previously associated via Thread or Email Address-Based AutoPilot will show properly as the associated inside ExtendSync app.

  • However, if the email was previously associated via One-Time, it will be tagged as This email is not associated with any Records initially. But you can go to Settings -> Advanced Options -> Include old app associations. You can then see all your old app associations. Learn more here.

  • Shared Mailbox is supported in this release.

Feature Highlights

We tried to make this list short but there's so much here we couldn't. πŸ˜•

πŸ”΅ Global search

The global search bar mimics the NetSuite global search to help you find records even faster.

πŸ”΅ Support for custom records

This has been one of the most requested features. With this new release, users will now be able to search and associate their emails and files with NetSuite custom records.

πŸ”΅ See if someone else in your org has already attached an email

Our new "Shared Association" feature lets you know if someone else in your organization has already attached the email to NetSuite with a purple icon, helping to prevent duplicates in NetSuite.

πŸ”΅ Support for more record types

Support for a lot more additional record types added. See lists here.

πŸ”΅ Improved performance

Previously ExtendSync would return large numbers of related records which resulted in extra calls to NetSuite and longer wait times for you. We've added a new default to return up to 25 records. If you need more, there's a setting in the app to revert to all records.

πŸ”΅ Quickly create nearly all NetSuite record types

ExtendSync supports creating select record types without leaving Outlook already. But what about other record types? ExtendSync now makes creating other record types just a click away using the Create from NetSuite link which will open NetSuite for them with the desired record type ready to be entered.

πŸ”΅ Improved Autopilot UI to prevent errors

Our email Autopilot feature is a fan favorite, but if used incorrectly, you might end up with some unwanted emails in NetSuite. For this reason, users will now get an extra prompt to confirm that they want to put the email on Email Autopilot.

πŸ”΅ ExtendSync Federated Identity

Users can seamlessly switch to multiple NetSuite accounts and roles without having to log out of the application. Each NetSuite account/role is connected to your Microsoft 365 account.

πŸ”΅ Connections

Connections (under Settings) is where you can manage all your NetSuite accounts and roles related to ExtendSync. Now you can even rename them, so they make more sense than something like "Role - 3".

πŸ”΅ All-new sleek UI

The complete UI was redesigned so that it's easy for users to search and associate emails to NetSuite records or set up email address-based or thread-based automation.

πŸ”΅ Themes and Colors

Users have the option to change the theme of the app to the system, dark mode, or light mode.

Predefined colors help you understand which environment you are working in:

  • Orange for Sandbox connections

  • Blue for Production connections

  • Green for Test drive connections

πŸ”΅ Faster syncs

Messages with attachments will be processed using an asynchronous mode. This means you'll no longer have to wait for all the attachments to sync over and you can go on with your work without delay.

πŸ”΅ Hover card details for Record viewing

Users can view additional information related to Available records by hovering over the record name.

πŸ”΅ Performance Improvements

The infrastructure and the frameworks we use to build the app have been upgraded giving users improvement in app responsiveness and performance.

What’s missing?

Missing something? Check the list below.

πŸ”΅ Recently Updated records section

This section is not present on the home page of the new app. The need for this is being evaluated.

πŸ”΅ Compose mode/read mode for messages not working in the online web version

There's an issue when using the online version of Outlook and the compose mode window is opened as a separate window (a bit uncommon but some users do this). This issue occurs because we're giving the option of switching between beta and production and it will self-resolve when we go live with production.
