FAQ: How to Transfer a CloudExtend License to a Different User

General | How to remove a license from one user and reassign it to a colleague

This guide explains how to remove a CloudExtend license from one user and assign it to another.

Use this process when:

  • An employee leaves the organization

  • A team member changes roles

  • You need to reallocate a license seat


⚠️ Important

You must be a CloudExtend Admin to follow these steps.

If you're not sure who your admin is, it's typically the person who set up your organization's subscription.

If you need admin access, contact support@cloudextend.io.


Prerequisites

Before starting, ensure you have:

  • Admin access to the CloudExtend portal at portal.cloudextend.app

  • The Microsoft 365 email address of the colleague you're adding


Steps to Transfer a License

1. Sign in to the CloudExtend portal

Go to:


Sign in with your admin credentials.​

2. Navigate to the Users tab

In the left navigation, select Users.

You'll see a list of all users currently assigned a license in your subscription.


3. Remove the existing user

  1. Find the user whose license you want to transfer

  2. Click the trash icon next to their name.

  3. Confirm the removal when prompted.

The license seat is now free and available to assign.

4. Add the new user

  1. From the Users tab, click Add User.

  2. Enter the following:

    1. Name – The colleague's full name

    2. Email address – Their Microsoft 365 email address (this must match the email they use to sign in to Outlook or NetSuite)

    3. Subscription – Select the appropriate plan

    4. Role – Choose User or Admin as needed

  3. Click Add User once done.

5. Wait for the activation email

📩 The new user will receive an activation email with setup instructions.

⏱ This may take a few hours.

✅ Verify It Worked

Once your colleague receives the activation email and completes setup, they should be able to:

  • Sign in to CloudExtend using their Microsoft 365 credentials

  • Not receive any "license not found" error.


Common Issues

🔵 Colleague isn't receiving the activation email

  • Confirm the email address was entered correctly

  • Check spam/junk folders

  • Wait up to 24 hours

If still not received, contact support.

🔵 "No license found" error after being added

  • The user should:

    1. Open CloudExtend

    2. Click Menu → Sign Out

    3. Sign back in using their Microsoft 365 email

🔵 Can't find the trash icon / Users tab

  • You may not have admin permissions in the portal. Contact your account's CloudExtend admin or reach out to support@cloudextend.io to confirm your role.
