ExtendSync Outlook End-User Guidelines and Go Live Checklist

This guide helps you create clear internal guidelines and processes so everyone using ExtendSync for Outlook NetSuite is on the same page before, during, and after go-live.

Use these questions and checklists to align your departments, ensure consistent usage, and drive long-term adoption.


๐Ÿงญ Planning Your Rollout

๐Ÿ‘ฅ Who Will Use ExtendSync?

  • Decide which departments will use ExtendSync:

    • Sales

    • Customer Service

    • Support

    • Finance

    • Operations

    Each team may work with different NetSuite record types, so define unique processes where needed.


๐Ÿ—‚๏ธ Which Records Should Emails and Events Be Saved To

Each department should establish its own guidelines.

Example:
โ€‹Youโ€™re working with contact Jess Nana at a company Socially Savvy Studio.
You have an open opportunity and an open estimate related to this customer.

These are 4 different record types in NetSuite: contact, customer, opportunity, and estimate.

Decide where you want emails saved โ€” for instance:

  • Customer record (for organization-wide visibility)

  • Opportunity or Estimate record (for context during deals)

When you save an email to a Contact, Opportunity, or Estimate, it automatically rolls up to the Customer record.


๐Ÿ“ง What Should Be Saved to NetSuite?

ExtendSync lets you save:

  • Emails

  • Events

  • Attachments

Determine what your organization wants to capture.
All saved content appears under each recordโ€™s Communication > Messages tab for full visibility.

For large attachments, consider saving to OneDrive or SharePoint instead.

๐Ÿ“ How Much Should Be Saved?

โ€œIf it isnโ€™t in NetSuite, it didnโ€™t happenโ€.

  • Encourage users to save all important communications โ€” emails, meetings, and attachments โ€” to ensure full visibility.

  • Attachments do take up storage space, so you may want to consider using OneDrive/SharePoint to save these attachments if they are over a certain size.

๐Ÿงพ Which Fields Should Be Included When Creating Records?

With ExtendSync, users can create, edit, or view NetSuite records directly from Outlook.

  • For each supported record type:

    • Decide which standard and custom fields should appear on the form.

    • Configure these in ExtendSync so users see the right details when creating or editing records.
