The CloudExtend Subscription Portal lets administrators manage user licenses, assign additional admins, and enable advanced ExtendSync features — all in one place.

💡 Note:

  • The Account setting in setup is required only for Enterprise Edition to enable Email Autopilot.

  • Standard Edition subscribers can skip this field.

Login

Step 2: Log in to the Admin Portal with your Microsoft ID (this was previously provided to your Customer Success Manager and is typically your Microsoft 365 email address).

Step 3: Click on Manage Licenses. All your subscriptions will be displayed here.


Add NetSuite Account

Used for connecting Production, Sandbox, and Release Preview NetSuite accounts.

Step 1: Click on Accounts. This is where you can add your Production, Sandbox, and Release Preview accounts.

Step 2: Enter your Account number (1). Choose from the dropdown (2) if it is a Sandbox or a Production Account and click the + sign (3).

💡 Tips:
• For Sandbox accounts, use an underscore instead of a hyphen and capitalize “SB” — e.g. 12345_SB1.
• For Release Preview accounts, use the _RP suffix — e.g. 12345_RP.
• You can add multiple accounts as needed.


Add Admin Users

If you’re the Super Admin, we recommend adding at least one backup admin.

From the portal, click on Admin Users.


Allocating Licenses to End-users

Use the Manage Licenses page to assign or update licenses for ExtendSync users.

Steps

  1. Click on Manage Licenses.

2. Enter the email addresses of the users you want to allocate licenses for.

3. Then click Add User button.

  • Users will receive an installation email within a few hours from ExtendInsights with setup instructions.

  • If your organization uses Microsoft 365, your 365 Admin can also deploy the app centrally through the Microsoft Admin Center. See instructions here.

Update or Remove Users

  • To update, you can remove the email address first then re-enter.

  • Click the trash icon to unassign a license.


Features and Add-ons

Enabling Email Autopilot (Enterprise only)

ExtendSync Autopilot is an Enterprise Edition feature that adds more automation to saving emails. The increase in productivity can be massive.

  • Thread-based Autopilot: Enables users to attach an email to one or more NetSuite records and then auto-sync every single back/forth reply attached to those same records, even when they are away from their computer.

  • Email address Autopilot: When you receive an email, you can monitor all future communications to or from a specific email address and attach that email to just the right record type in NetSuite with zero clicks.


Enable Attachment Autopilot (Enterprise Only)

Automatically sync emails with attachments to the NetSuite File Cabinet — no clicks required.

  • Works with both thread- and address-based Autopilot.

  • Saves attachments and inline images.

  • ⚠️ Files consume NetSuite File Cabinet storage, so enable thoughtfully.


Send from Outlook

ExtendSync introduces a solution—allowing you to send emails directly from NetSuite’s interface.

Enable Calendar Autopilot (Add-on or Standalone)

Outlook events will sync automatically with NetSuite, including:

  • Updates to time, date, or agenda

  • Attendee changes

  • Event declines or deletions
