Licensing: Manage ExtendInsights licenses and Administrator users

ExtendInsights Data Management | Manage users and licenses in the CloudExtend portal

This guide explains how Enterprise administrators can log in to the CloudExtend portal, add or remove admins, and assign or revoke ExtendInsights for Data Management licenses.

📢 CloudExtend Admin Notice: New Subscription Portal

CloudExtend is transitioning to a new subscription management portal.


Log In to the CloudExtend Portal

  1. Log in using your Microsoft ID or Google account.

💡 This is typically the Microsoft 365 email address shared with your Customer Success Manager.


Manage Admin Users

We recommend having at least two administrators.

  • The primary admin (Super Admin) can add or remove other admins

  • Additional admins can manage licenses and user access

Add an Admin User

  1. Go to Admin Users.

  2. Enter the user’s email address.

  3. Click Add Admin.

The new admin will appear in the list.

Remove an Admin User

  • Click the Delete (trash/bin) icon next to the admin you want to remove.

💡 Admin Email Requirements

  • Admin email must be a valid Microsoft 365, Microsoft ID, or Google account

  • If a user’s NetSuite email differs from their Microsoft/Google email, update the license email to match the Microsoft/Google login


Add ExtendInsights Licenses

Step 1: Open License Management

  1. Click Manage Licenses.

  2. Select Licenses.

Step 2: Assign Licenses to Users

  1. Review your subscription details at the top of the page.

  2. In the licensed users section, enter the user’s email address.

  3. Click Add User.

  4. Repeat for additional users as needed.

💡 Important Notes About User Login

  • User login is tied to their Microsoft or Google account, not directly to NetSuite

  • Users do not need to sign out to switch NetSuite roles or companies

  • NetSuite connections can be changed from the Menu → Connections without logging out


Removing Licensed Users

Step 1: Open Manage Licenses

  1. Go to Manage Licenses.

  2. Select Licenses.

Step 2: Remove the User

  • Click the Trash Bin icon next to the user you want to remove.

The license is immediately freed and can be reassigned to another user.


Best Practices for License Management

  • Maintain at least two admins for redundancy

  • Use Microsoft/Google emails consistently for licensing

  • Review licensed users periodically to ensure active usage

  • Remove licenses from inactive users to optimize allocation
