CloudExtend Google Calendar For NetSuite – May 2016 (Version 2.4.0.X)

What’s Changed?

With this release, the Calendar sync will no longer create contact records for attendees in Google Calendar event, who do not have an entity record existing in NetSuite. Instead, details of attendees are now stored in records of new Custom Record type Celigo Calendar Attendee which are listed under the Subtab Attendees[Celigo CloudExtend].

What’s New?

Subtab named Attendees[Celigo CloudExtend] is now visible under Calendar Event records in NetSuite to keep track of the attendees synced to/from Google Calendar.

The details related to attendees, listed under the sub-tab Attendees[Celigo CloudExtend] are stored in the records of a new Custom Record Type called Celigo Calendar Attendee.

Bug Fixes

Fixes related to assigning access to users under CloudExtend Setup And Gmail mail id mappings using Celigo Employee Gmail records.

Known Issues:

  • When an Attendee responds to an already synced event from NetSuite, The response is not synced to Google Calendar.

  • When an Attendee is added to a single instance of an already synced recurring event in NetSuite, The attendee is added to all the events in the series

Issues Fixed [Calendar]

  • Erroneous syncing when See Guests List option in Google Calendar is unchecked this case, only the organizer of the event can retrieve the complete guest's list. With the new fix, only the organizer is allowed to import this event into NetSuite. If the organizer is not licensed for CEGA in NetSuite, the other attendees are then allowed to import this event.

  • Events that were not syncing to NetSuite from Google Calendar in the case of empty guests list. For this case, when the retrieved guest's list is empty, the organizer is added as the attendee to prevent the issue of an event not syncing.

  • Events that were not syncing to NetSuite due to constraints on lengths of First Name, Last Name, Message Body, etc. The length of the text is sliced automatically to its maximum allowed values by NetSuite.

  • Events that were not syncing to Google Calendar from NetSuite, when copied from an existing event. Copied events have visibility set to ‘Show as Busy’ by default. Celigo scripts only sync events that have visibility set to ‘public’.The default visibility of the copied event is now set to 'Public' and is being synced. Users can then change this setting when they need to.

  • Events that were not syncing to Google Calendar from NetSuite when created as an attachment to some record types when events are created as an attachment to other records, NetSuite adds that record as an attendee. Some records, such as Job/Project, that do not have an email-id, cause errors because Google expects email-ids for all the attendees. Attendees without email ids will now be skipped. Users will not see this attendee in Google Calendar, but the record will stay untouched in NetSuite.

  • Issues relating to Recurring Events which didn’t sync or synced erroneously are now fixed. These include updates to exceptions of recurring events not syncing from NetSuite to Google CalendarDeleting "All the following" events of a recurring Event in Google Calendar not syncing to NetSuiteErroneous syncing when updating dates of a Daily-Recurring event from NetSuite to Google CalendarErroneous syncing when updating a Recurring event after opening the occurrence from the middle of the series, from NetSuite to Google Calendar. Erroneous syncing from NetSuite to Google Calendar, when updating single instance of a Recurring event in NetSuite to another Recurring event. In Google Calendar, the only way to simulate an exception that is a recurring event is to update exclusions to the original recurring events and then create an independent recurring event.

Issue fixed: Missing notifications in Calendar App

The CEGA Calendar app syncs the calendars of Gmail and NetSuite. Events that are created in Gmail are visible in NetSuite. In some instances, events created from domains outside the company network were not syncing and participants did not receive the event notifications due to this. This issue prevented the company and its external customers from coordinating efficiently. The current build has fixed this issue. All participants receive notifications even when the meeting events are created by customers outside the company network.

Issue fixed: Gmail subtab in NetSuite record visible for the unlicensed users

CloudExtend Google Apps is licensed for multiple components of Gmail, Gdocs, Calendar, and Contacts. Users have the option to license one or more of the above apps. In some instances, even when a user did not have a license for the Gmail app, the Gmail section in the NetSuite record would be visible to the user. In the current enhancement, the Gmail sub-tab is no longer visible to unlicensed users.

Enhancement: Uninstallation impacting licensed email address

It is a general practice for licensed users to use an alias email ID to operate their CEGA account. The alias email ID is mapped to the email of the licensed user. In some instances, even after uninstallation, the mapping between the emails would be present. When the user revokes the bundle, the mapping between emails would still persists. The new bundle is enhanced such that all email mappings associated with the original email are reset.

CloudExtend GDrive For NetSuite – June 2015 (Version 2.3.8)

Enhancements:

  • In this release, we have redesigned the Google Drive integration UI to make it more user-friendly and easy to work with

  • The new Google Drive Picker UI enables easier search for files and folders in a user's drive

  • Users can also use the drag & drop feature to upload files from their computer directly to Google Drive and to the selected NetSuite record

  • We have also migrated from the older Google Docs APIs to the latest Google Drive APIs

Instructions for upgrade to our latest Google Drive integration:

The steps below should only be followed once by your company's Google Apps Super Admin. There is no action required of end users.

  1. If you are licensed for Google Drive, your Super Admin will need to install an additional CloudExtend component over your Google Apps account.

  2. To install the CloudExtend for Google Drive app, the Super Admin will need to sign out of all other Google Accounts other than the one for which CloudExtend for Google Drive needs to be enabled.

  3. The Super Admin should then open the app by clicking the link here. Grant access to the app. The Google Drive integration should be up and running for your organization.

Fixes:

  • Email attached to a Prospect does not show up on the Communication Sub-tab of the Prospect record: This fix is now live and an email attached to a Prospect record will be attached under both the Gmail and Communication sub-tab of the record

  • First-time import does not sync all event exceptions: All events, single, recurring and recurrence exceptions will now be synced when events are synced from Google to NetSuite for the past 24 days (as part of the first-time import that runs after the bundle is first installed).

Fixes:

  • Sync events without attendees from Google to NetSuite: Events without attendees were not being synced across to NetSuite. With this release, these Google Calendar events will sync to NetSuite. However, NetSuite does not allow events without attendees to be displayed on the NetSuite calendar. Hence, the synced events can be found only in the list of Events.

  • Sync events that span over multiple days and are altered later to a single-day event: When an event in Google that spans across multiple days and is synced to NetSuite is changed to a single-day event, the event is now synced across appropriately to the NetSuite calendar.

  • Events with no titles in Google Calendar are synced to NetSuite calendar: Events with no title in Google Calendar will not be synced to NetSuite with their description set to the string 'Undefined'.

Features:

Facility to stop a selected NetSuite event from syncing to Google or vice versa

  • You were able to stop the sync of a NetSuite event from NetSuite to Google by enabling that little checkbox next to Do not sync to Google under the custom tab of your NetSuite event. We've enhanced this feature further to stop the sync from Google to NetSuite of a NetSuite event that was previously synced to Google. What does this mean for you? You can now disable the sync for an event at any point after its creation and successfully stop the sync in both directions for that event.

CloudExtend Calendar For NetSuite – December 2013 (Version 2.1.1)

Features:

  • Calendar license to be applied across the organization: Calendar sync is now an organizational-level feature, which is enabled for all employees across the organization. Calendar events for all Employees in the organization will sync as per the sync direction setting.

  • Improved handling of recurring events: Recurring events and any exceptions in a recurring event are synced appropriately now. A recurrence exception is an event in a recurring series that is altered from the rest of the events in the series.

  • Addresses issues pertaining to event duplication: The issue of duplication of events on calendars is appropriately handled. However, events already synced will not be corrected as this fix applies to new events or updates only. Private/Busy events of NetSuite will not be synced to Google Calendar.

  • Better handling of timezone differences: Multiple time zone scenarios are addressed properly. To know more, click here.
